Update Learner Completion Status

Depending on your organization's needs, you may need to manually update a Learner's completion status through the Admin UI. This article will take you through the required steps in order to execute a change in Learner progress. 

First, you will need to navigate to the Users report.

You will then need to select the User that requires management, and then to click the User Transcript button from the Actions menu on the right.

Proceed by selecting the Course that requires a change in status. Doing so will bring you to the Edit Activity page.

Once on the Edit Activity page, there will be a number of options available to you under Course Activity. The first is your option to change how the Course is marked.

  • Not Completed: selecting this option will set the status of the Course to In Progress. 
  • Completed: selecting this option will set the status of the Course to Completed. 
  • Failed: selecting this option will set the status of the Course to Failed

It's important to note that while the Course status is updated to either In Progress, Completed, or Failed, the lessons within the Course will not be marked or updated. We'll cover this shortly in Lesson Activity. There are three additional options Admins can adjust for Learners on an individual-by-individual basis. 

  • Score: Any number between 0-100 can be entered here to provide a grade for the Course
  • Expiry Date: If desired, an Expiration Date can be updated, or added, if necessary. This can provide Learners additional time to complete their Course, or less time if an Admin wishes. Once expired, the Learner will no longer have access to the Course. 
  • Due Date: If desired, a Due Date can be updated, or added, if necessary. This can provide Learners additional time to complete their Course, or less time if an Admin wishes. The Learner will still have access to the Course past the Due Date, however there will be a warning message for them in the Learner UI.

The next section on this Edit Activity page is dedicated to Lesson Activity. As mentioned above, Lesson Activity is not changed when updating Course Activity. Individual Lessons need to be updated if required for reporting purposes. To do so, you will need to click on the pencil icon in order to edit the details.

A modal window with the Lesson Activity details will popup over the current page, and provide options similar to those found for Course Activity. The first is Status, of which there are three choices:

  • Not Completed: selecting this option will set the status of the Lesson to In Progress. 
  • Completed: selecting this option will set the status of the Lesson to Completed. 
  • Failed: selecting this option will set the status of the Lesson to Failed

Beyond the Lesson Status, there are a few other areas in which an Admin can update, and view information.

  • Score: Any number between 0-100 can be entered here to provide a grade for the Course
  • Passing Score: While not editable, an Admin can view what the passing score was set up . 
  • Maximum Attempts: This field allows Admins to adjust the number of attempts that a Learner has before they can no longer access the Lesson.
  • Current Attempts: While not editable, an Admin can view the Learner's current attempts which can aid in determining how to adjust maximum attempts if necessary. 
  • Remaining Attempts: Similar to current attempts, remaining attempts is not editable, however an Admin can use the data in order to determine if a change to maximum attempts is necessary.

If you don't wish to retain your changes, simply click on Cancel, and you will be brought back to the Edit Activity page. However, in order to retain any changes, you will need to click on Continue, and then on Save on the Edit Activity page.

Once you have made your changes, you can always go back into the Edit Activity page to review that the changes look as expected. Alternatively, you can view Course completion details from the User Transcript, but you will need to go back into the Edit Activity page in order to view Lesson details.
