E-Commerce Buy on Behalf

Many organizations' Administrators purchase Courses on behalf of their Learners. At checkout, the purchaser can purchase a single seat on behalf of another Learner. When more than one seat is purchased, the LMS will always consider this a purchase on behalf of others. This article will guide you through the Buy on Behalf feature setup process.

Use Case Example

An Administrator wishes to purchase a seat for a Course or set of Courses for another Learner. This order of operations occurs:

  1. The User adds Courses to their cart.
  2. Before checkout, the User selects the Buying for Others tab on the cart.
  3. Following completion of the transaction, an Enrollment Key will be generated, which will enroll the current Learner into the Course or Courses upon redemption. The Enrollment Key will be delivered to the purchaser as part of the receipt.

 

Instructions 

Follow the below steps to set up the Buy on Behalf feature:

  1. Navigate to E-Commerce Settings by opening the Client Settings page from the Account menu on the right-hand side of the Admin Interface.

  2. In the Settings section of E-Commerce Settings, enable Single seat enrollment key purchase.

Multi-seat Purchases

The System Administrator configuring E-Commerce for your Portal will be able to determine how Multi-seat Purchases work for Users. The toggle for Multi-seat Purchases is located in the E-Commerce Settings section of Portal Settings.

 

There are two toggles underneath Multi-seat Purchases that determine how the system will operate. The options are as follows:

  • A User purchases multiple seats with Allow users to purchases multiple seats in a course enabled at the Portal level.
    • In this scenario a single Enrollment Key gets generated that allows for X number of uses (where X is the number of seats purchased).
  • A User purchases multiple seats with both Allow users to purchase multiple seats in a course & Generate multiple, single-use enrollment keys when more then one seat in a course is purchased by the same learner enabled.
    • In this scenario multiple, single use Enrollment Keys are generated depending on how many seats were purchased.

Depending on your preference as an organization, reach out to your System Admin to configure the setting for Multi-seat Purchases that is best for your business needs and Learners.

Multi-seat Purchases Limitation

If the Learners can save their payment details during the checkout process box is checked under Saved payment details & subscriptions in E-Commerce settings, Guest Checkout will not work for Multi-seat Purchases, as the system expects a User to be logged in to complete the transaction.

 

Customer Experience 

When this feature is enabled, Users may opt to buy the Course on behalf of others at checkout. A User will proceed through these steps:

  1. A Course or Courses are added to the cart.
  2. The User selects their cart to review their transaction before purchase.
  3. If they purchase for their own Enrollment, no change to their workflow is needed.
  4. If they're purchasing for another Learner, they must select the Buying for Others tab.

  5. When the transaction is complete, an Enrollment Key will be created and made available to the purchaser on Receipt.

Important - Purchasing Multiple Courses

Please note that when more than one Course seat (quantity of 2+) is purchased, an Enrollment Key is automatically created. The system requires that your purchase is on behalf of others. In this case, the Purchase on behalf of others checkbox will be checked and mandatory.

 

Variable Courses Purchasing Quantity

When purchasing on behalf of others, Learners can purchase a variable quantity of Courses.

Based on how Enrollment Key generation is set up in the E-Commerce Settings, when the quantity of Courses is various, the Enrollment Keys will be generated in one of two ways:

  1. One multi-use Enrollment Key per Course.
  2. A Single-use Enrollment Key for each cart item.

If the quantity of Courses in the cart is equal, the Key generation mechanism remains unchanged.
