Admin Refresh Experience: Collaborations

Overview

The Collaboration Activity Report provides the Admin the ability to review their Collaborations and all activities related to the Collaborations.  The report will return all active Collaborations and the Users associated to the Collaborations.


About the Report

The Collaboration Activity Report is nested in the Engage menu of the Admin Experience. Clicking on the report name will redirect you to the Collaboration Activity Report page. From here, you can filter results based on a variety of data points.

 The Collaboration Activity Report will launch using the standard Report layout where you can:  

  • Manage Collaboration Activity 
  • View the Activity on all Active Collaborations
  • View users associated to Collaborations

Note: Be mindful that opening a report may also bring up a favorite saved layout or a shared default organizational report layout. Learn more.


Report Data 

You can customize this report to provide information on any data points listed below.

Notes

Data Column Description
Activity Type*

This column displays the type of activity performed on the Collaboration by the User. 

  • If Answer, the User responded to a Question on the Collaboration. 
  • If Comment, the User commented on someone else's Post within the Collaboration. 
  • If General, the User created a Post on the Collaboration.
  • If Reply, the User to another User's comment on the Collaboration. 
Address This column displays the value populated in the User's Profile > Address field. 
Address 2

This column displays the value populated in the User's Profile > Address 2 field.

City

This column displays the value populated in the User's Profile > City field.

Collaboration* This column displays the Name of the Collaboration. 
Country This column displays the value populated in the User's Profile > Country field.

Date Added*

This column displays the calendar date and time that the User's Activity in the Collaboration was added.

Date Edited* This column displays the calendar date and time that the User's Activity in the Collaboration was updated. 
Date Hired This column displays the value populated in the User's Profile > Date Hired field.
Department*  This column displays the value populated in the User's Profile > Department field.
Email Address  This column displays the value populated in the User's Profile > Email Address field.
Employee Number This column displays the value populated in the User's Profile > Employee Number field.
First Name* This column displays the value populated in the User's Profile > First Name field.

Flag Count

This column will indicate if any of the Users have reported the activity. The User will have the ability to mark the activity as either Inappropriate Content, Spam or Irrelevant Content or Other. 

ID

(Activity ID)

This column displays the Activity ID automatically generated by the LMS when the activity was made.

Job Title This column displays the value populated in the User's Profile > Job Title field.
Language

This column displays the value populated in the User's Profile > Language field.

Note: If a language has not been identified, this field will be blank.

Last Name* This column displays the value populated in the User's Profile > Last Name field.
Learner Date Added This column displays the calendar date and time the User was added to the Collaboration. 
Learner Date Edited  This column displays the calendar date and time the User was edited on the Collaboration. 
Location This column displays the value populated in the User's Profile > Location field.
Middle Name This column displays the value populated in the User's Profile > Middle Name field.
Notes This column displays information about the User that an Admin has added to the User's Profile > Notes field.
Phone This column displays the value populated in the User's Profile > Phone field.
Postal Code This column displays the value populated in the User's Profile > Postal Code field.
State/Province This column displays the value populated in the User's Profile > State/Province field
Summary* This column displays the content within a User's Post.
User Id This column displays the User ID that was automatically generated by the LMS when the User was created. 
User Status

This column displays the User Status.

  • If Active = The User can receive training assignments
  • If Inactive = The User cannot participate in or record new training events.
Username*

This column displays the value populated in the User's Profile > Username field.

The Username is a name-based identity used to distinguish each User as they are added to the LMS. Also referred to as the User’s Login.

 


Report Action & Mass Action Options

Collaboration Activity Report

After generating a report, you can perform administrative actions. Commands to modify Report data become available once the checkbox of a table row item is selected (checked). The menu is displayed on the right-hand frame of the page. This menu is context-sensitive. The options for Actions that are available will change depending on the content you are selecting.

  • An individual row selection will open the Actions menu.

Note: Action options are dependent on your individual Admin Role permission(s).  Some actions listed in the table below may not be available to all Admins.  If you have questions related to your permission set, please contact your local System Admin for details.

Actions

The actions listed in the table below can be applied to a single selection

Action Menu Option Description
Edit Activity Click this button to launch a workspace to view and edit the selected User's Collaboration Activity. 
Delete Activity Click this button to delete the selected User's Collaboration Activity. 
Deselect Click this button to clear current selections.

Required Role Permissions

Please note that your environment may use customized Role(s), Permissions, or a combination of both to regulate access to this Report.

Admins must have Generated Reports in their Role, in order to export data to Excel or CSV on any Administration page or Report page.

If you have questions or need assistance, please contact your local System Administrator to review your current permission set. 

Keep in mind that Engage must be turned on in the LMS in order to use this feature. Please contact your Account Manager if you are interested in adding this product to your LMS.
