Analyze is a single-stack reporting solution that simplifies complex data using customizable Dashboards. A Dashboard is a collection of one or more Widgets that visualize the data you select and design. You define which Widgets appear in the Dashboard, how they are organized, how they are styled, and which filters apply. You can access your own Dashboards as well as Dashboards shared with you.
When you create a Dashboard, you are the Dashboard owner. If you find insights that you want to share, you can download, share, or export your Analyze Dashboards in several formats.
This article explains how to download, share, and import Dashboards in Analyze.
Downloading Dashboards
This section explains how to export Dashboards from Analyze as reusable .dash files, images, or PDF reports.
Exporting Dashboards as .dash Files
Use .dash exports to move Dashboards between Analyze instances or share them with other administrators and designers.
Administrators and Designers can export Dashboards as .dash files for use in other Analyze instances. When you export one or more Dashboards, a single .dash file is created. You can then send this file to other users (for example, by email or Slack) so they can import the Dashboard into their own Analyze account.
Exported .dash files are static. Any changes made to the original Dashboard after it has been exported will not be reflected in previously downloaded copies.
About .dash File Downloads
The following overview describes the available methods for exporting Dashboards as .dash files.
There are two ways to download a Dashboard in Analyze:
- Download a single Dashboard from its menu.
- Download one or more Dashboards from the Dashboards list.
Both methods generate a .dash file that you can save and share. After downloading the exported file, you or your users can import it into another Analyze instance. For more information, see Importing Dashboards later in this article.
Download a .dash File from a Single Dashboard (Method 1)
Use this method when you want to export an individual Dashboard that you are already viewing.
- In the navigation pane on the left side of the Analyze environment, locate the relevant Dashboard and open its menu.
- Select Export.
Download One or More Dashboards as a .dash File (Method 2)
Use this method when you want to export multiple Dashboards at once from the Dashboards list.
- In the navigation pane on the left of Analyze, select
to display checkboxes next to all Dashboards and folders.
- Select the Dashboards and folders that you want to export.
- Select
to download a single
.dashfile containing all selected Dashboards.
Downloading Dashboards as Images
Use the image download option when you need a static visual of a Dashboard for documents, slide decks, or web pages.
Downloading a Dashboard as an image is useful for presentations, documents, or websites. The downloaded image reflects the current state of the Dashboard, including any filters applied. Dashboard images are downloaded in PNG format.
Download a Dashboard as an Image
Follow these steps to download the current Dashboard view as a PNG image.
- At the top-right of the Dashboard, select
and then select Download Image.
- Optionally, configure additional download settings:
- Size (width): Set the width of the image in pixels.
- Show Dashboard Title: Display the Dashboard name at the top of the image.
- Show Dashboard Filters: Display a summary of the filter selections at the top of the image.
- Show Data Set Info: Display the data set name and last build time at the top of the image.
- Select Download.
Downloading Dashboards as PDF Reports
Use PDF reports when you need a printable, shareable document that shows a snapshot of your Dashboard layout.
Downloading a Dashboard as a PDF report is useful for meetings and presentations. The PDF layout is shared between manual downloads and scheduled email reports. When you change the layout in either place, the other is automatically updated.
Create a PDF Report Layout
Follow these steps to configure the PDF layout for your Dashboard and optionally download it as a file.
- On the Dashboard menu, select
to open the PDF Report Settings modal.
- Choose how to configure the layout:
- Edit mode: Resize widgets by selecting and dragging their borders. Borders are only visible when Edit mode is enabled.
- View mode: Preview how the Dashboard will appear in the PDF.
- In either mode, customize the PDF using the options in the left-hand menu:
- Set the overall size of the PDF report.
- Orientation: Set the PDF to landscape or portrait.
- Header: Choose what information to include in the header. The header appears at the top of each page. In the preview area, select the header to edit the text, size, and alignment.
If Data as of is selected, the header shows the date and time of the latest data refresh attempt. This is displayed in UTC and is not controlled by the time zone selected in the report schedule.
- Select
to save the layout for future use, or select
to download the Dashboard as a PDF.
Sharing Dashboards
This section describes how to manage Dashboard ownership, share Dashboards, and configure email reports in Analyze.
Dashboard Ownership
Use ownership to control who can manage and republish a Dashboard for other users.
A Dashboard Owner is the administrator who originally created the Dashboard. You can transfer ownership of a Dashboard you own to another administrator or designer.
Owners and Analyze administrators can share their Dashboards with other Analyze users (Shared Users).
To see which Dashboards you own, navigate from the main Analyze menu to Created By Me.
Changing Ownership of a Dashboard
You can transfer ownership of a Dashboard to another administrator or designer so they can become responsible for maintaining it.
A Dashboard Owner can transfer ownership of a Dashboard to another administrator or designer. This is useful if the original owner leaves the organization or changes roles.
When you transfer ownership, the Dashboard remains in your list as a shared Dashboard, and you become a Shared User with limited edit rights.
Transfer Ownership of a Dashboard
Follow these steps to assign a new owner to an existing Dashboard.
- In the header of the relevant Dashboard, select Share.
- Enter the name of the Administrator or designer you want to transfer ownership to.
- For that user, select Make Owner.
- Select Save.
- In the confirmation prompt, select OK to confirm the ownership transfer.
Sharing Dashboards in Analyze
Sharing allows you to give other users access to your Dashboards while maintaining a master version you control.
Dashboard Owners and Analyze Administrators can share Dashboards with other Analyze users and define each shared User's access level.
When you share a Dashboard, you create a link between your original Dashboard and the shared version. You can continue to update your original Dashboard and republish it so that shared Users see the latest changes.
When sharing a Dashboard, you can assign one of the following access levels:
- Designer access level: Provides editing rights. Shared Users can edit their copy of the Dashboard without affecting your original. Your Dashboard remains the source that is shared. Shared Users can revert to your latest shared copy at any time by right-clicking the Dashboard name in the list and selecting Restore Dashboard.
- Viewer access level: Provides viewing and filtering rights only. Shared Users can filter their view but cannot modify the shared Dashboard.
Share a Dashboard
Use the following steps to share a Dashboard with other Analyze users.
- From the Dashboards overview main menu in Analyze, locate the Dashboard you want to share.
- Select the
icon.
- Enter the email address or group name of the administrator you want to share the Dashboard with. Select the user or group, configure their access level, and then select Save.
If a recipient does not have an Analyze account, they receive a link that guides them through the activation process.
Consider the following when sharing Dashboards:
- If you share a Dashboard that is inside a folder, the folder structure is preserved, and a matching folder is created for the receiving administrator if needed.
- You can configure Analyze to send periodic email notifications that contain the Dashboard in the email body or as a PDF attachment. If allowed, Shared Users can configure their own subscription schedules and delivery methods.
- When a Dashboard is shared, the
icon appears next to its name in the navigation panel.
- If the Share icon is not available when viewing a Dashboard, selecting Republish may provide options to share it with additional users.
Stopping Dashboard Sharing
If you no longer want other users to receive updates from your Dashboard, you can stop sharing it.
You can stop sharing a Dashboard that you have previously shared with other users.
Stop Sharing a Dashboard
Follow these steps to remove shared access to a Dashboard.
- In the Dashboard header, select Share
.
- Remove all email addresses and groups from the list of Shared Users.
- Select Save.
Shared Users retain their own copies of the Dashboard, but they will no longer receive updates or be able to restore the Dashboard from your original.
Sending Dashboards as Email Reports
Use scheduled email reports to send static snapshots of your Dashboard to recipients on a regular cadence.
You can configure the Analyze Scheduler to send periodic email reports that contain a static version of your Dashboard. You control how often reports are sent and at what time. Recipients can view the Dashboard in the email, open the attached PDF, and, if they have access to Analyze, open the live Dashboard.
Schedule Email Notifications
Follow these steps to configure the schedule, format, and frequency for email reports.
- Navigate to the Dashboard you want to schedule and select the Share icon
to open the Share modal.
- Select the type of report you want to send:
- Email Report: The Dashboard widgets are embedded in the email body, arranged vertically.
- PDF Attachment: The report is attached as a PDF. When you choose this option, select Edit/View PDF Report to define how the Dashboard will display in the PDF.
- In the Schedule area, configure the frequency for sending email notifications.
| Option | Description |
| Time zone | Set the time zone used for sending the email reports. |
| Daily | Send one email report on selected days. In the every day field, select the days to send the report (you can select multiple days). Select the hour when Analyze starts preparing the report. The report is sent on the defined days as soon as it is ready. |
| Monthly | Send one email report per month. In the every month field, select the months to send the report (you can select multiple months), or select every month. Select the day of the month and hour when the email is sent. If you select a day that does not exist in a month (for example, February 30), the report is not sent for that month. |
- Select Save.
When working with email reports:
- To preview how the report will look to Shared Users, in the Shared Dashboard window, select Send me a report now. This sends a report to your email address immediately.
- If any widget fails to load, the email report still sends but displays an error message in place of that widget. The message recommends that the recipient contact their Analyze administrator.
