Absorb Analyze Data Dictionaries

Analyze is a Reporting upgrade feature in Absorb that provides clients a way to customize their reporting. This customization includes choosing their own sets of data within the report, graphs, charts and various widgets with different data within one Dashboard.

Here you will learn about what it means to select Data Sources and what the fields mean within the different Data Tables offered in the Data Sources.

 

Data Sources

The Analyze report engine has been built to utilize a series of database views (Data Sources) specifically to simplify reporting.  A database view is a method to tie one or more database tables together to render data in an easy fashion to understand.

You will be prompted to select your Data Source upon adding a new Analyze report. The Data Source will filter your data, so that the information provided in your report will only be related to the Data Source you selected.

Assessment Activity

This Data Source will provide data that relates to Assessments in the LMS. These are Assessments created in the LMS and Assessments that are included in a SCORM Course

For instance, if you would like to report on Questions included in the Assessment, the Correct Answers to these questions and then see what your Users answered, you would select this Data Source

Attendances

This Data Source will provide data on recorded attendances for Session Schedules.

For example, use this Data Source if you would like to report on how many students attended a particular class or series of classes for a session or the attendance rate (present vs. absent)for a class.

Awarded Certificates

This Data Source will provide data on Certificates granted to Learners by completed Curriculum, ILC and Online Courses.

For instance, use this Data Source if you would like to report on what Certificates a specific Learner has obtained, when those Certificates expire, and how those Certificates were obtained.

Checklist Activity

This Data Source will provide data that relates to Observation Checklists. Observation Checklists are a Lesson type within an Online Course

For instance, if your report needs to include a list of Users who are enrolled into an Observation Checklist and the responses from their Reviewer, you would select this Data Source.

Course Bundle Enrollments

Contains information on Learner Course Bundle Enrollments and their Child Course Enrollments.

Course Content

This Data Source will provide information on the structural data for Courses (Online & ILC), Curriculum and Course Bundles.

For example, if you would like to report on how many Learners attended a particular class or series of classes for a Session or the Attendance rate (present vs. absent) for a class, then you would select this Data Source in your report.

Course Enrollments

This Data Source will provide data that relates to Online Course and Instructor Led Course (ILC) Enrollments.  

For instance, if your report needs to include Users enrolled into a specific Online Course and a specific ILC, what Session they elected, their status in both courses and what Department they are in, you would use this Data Source

Course Enrollment Exception

This Data Source will provide data which relates to Course Enrollment Exceptions.

For instance, this model enables you to report on Users who are not enrolled in a given Online Course or Lesson.

Course Evaluations

This Data Source will provide data that relates to Evaluations attached to Online Courses and Instructor Led Courses (ILCs).  

For instance, if your report needs to include the name of the Online Course, the Evaluation Questions, what each User answered, User's Name and what Role the User has in the LMS, you would use this Data Source

Course Ratings

This Data Source will provide data that relates to the Rating provided on a Curriculum, Instructor Led Course or Online Course.  

For instance, if your report needs to include Users data who have provided Ratings on Online Courses, the Course Details, what Rating was provided and who the Vendor on the Course(s) is, you would use this Data Source.

Contains information on Course Uploads for all Learner Course Enrollments.

Curriculum Enrollments

This Data Source will provide data that relates to Curriculum Enrollments.  

For instance, if your report needs to include Users enrolled into a specific Curriculum, what Online Course or ILC they are enrolled into within the Curriculum and what their Status is, you would use this Data Source

Curriculum Enrollment Exceptions

Contains information on Learner Curriculum Enrollments that do and do not exist for all User and Curriculum combinations. Also contains records for Course Enrollments that do and do not exist for an existing Curriculum Enrollment.

eCommerce Transactions

This Data Source will provide data related to e-Commerce Transactions. Data in this model is only available to users with the Transactions > View permission in their Admin Role.

For instance, if you would like to see who made a specific purchase, during a specific time, you could use this Data Source to get that data.

eCommerce Transaction Details

This Data Source will provide data related to e-Commerce Transaction Details. Data in this model is only available to users with the Transactions > View permission in their Admin Role.

For instance, if you would like to have your report contain data on the specific Online Courses and/or Curricula purchased, you would use this Data Source

Enrollment Keys

This Data Source will provide data that relates to Enrollment Keys.

For instance, using this you can determine what Courses/Curriculums/Course Bundles are related to each enrollment key, and which Users have been created by using each Enrollment Key.

External Training

This Data Source will provide data that relates to External Training submissions in the LMS

For instance, if your report needs to include details on the External Training templates or External Training submissions, you would use this Data Source.

Learner Competencies

This Data Source will provide data on Competencies acquired by Learners, upon completion of a Curriculum, ILC or Online Course.

For instance, this Data Source should be selected if you would like to report on what Competency Levels specific Learners have acquired, when they acquired them, and who/how they were assigned.

Logins

This Data Source will provide data that relates to Users logging into the LMS.  

For instance, if your report needs to include Users data, when a User logged in, how many times they logged in and what Group they belong to, you would use this Data Source

Users

This Data Source will provide data that relates to Users in the LMS.  

For instance, if your report needs to include User's name, Address, Department, Role and what Group they belong to, you would use this Data Source.

Contains relationships between Department or Group Administrators and the Departments, Groups, and Users they manage.

Contains details on User Self Assessments, their rated Skills, and Course Enrollments along the Learning Paths to acquire these Skills.

Data Tables

The Data Tables are contained within the Data Sources and list all the available fields that can be included in your report. Some of the Data Tables will be included in multiple Data Sources, but keep in mind the values within the fields may produce different results since the Data Sources focus on different content. The Data Tables act as a Category for your fields and help determine the type of data you will receive when selecting the field. 

For instance, if you select Date Added from the User Data Table, you will get the Calendar Date or Time that User was added to the LMS. If you select Date Added from the Course Data Table, you will receive the Calendar Date or Time the Online Course was added to the LMS.

 

Data Fields

Included in this article as an attachment is a list of all the Data Fields that are available in all the Data Sources, the Description of the Data Field and Table(s) the Data Field belongs to.

The definition of the Data Field will be generically written, to provide a basic understanding of what data will be pulled into the report when the field is selected. Remember, the field will be a representation of the Data Source and Data Table the Data Field was selected from.

Reference Tables

The following tables showcase information related to Status as it relates to different Data Sources:

Course Enrollments

If... Then...
Absent This Status will display when an Instructor or Admin selected this option as a Completion for the User's Enrollment
Complete The User has fulfilled all requirements within the Online Course or ILC.
Declined An Approver has declined the User's request to Enroll in the Online Course or ILC.
Failed The User did not meet the minimum score required within the Assessment(s) contained in the Online Course.
In Progress The User has launched or began at least one Lesson within the Online Course or ILC.
Not Complete This Status will display when an Admin edited a User's Enrollment so that the User can retake the Online Course or ILC.
Not Started The User has not taken any action towards completing the Online Course or ILC.
On Waitlist This Status indicates that the User is waiting for a seat to open in an ILC Session
Pending Approval This Status indicates that the User is waiting on a Manager or Admin to approve the enrollment.
Pending Evaluation Required This Status will display when the User has not completed the Evaluation at the end of the Online Course or ILC
Pending Proctor This Status indicates that the Online Course is awaiting the Proctor, so the User can complete their Absorb Assessment
Ready for Review This Status will display for an Online Course when the Observation Checklist Lesson is waiting on the Reviewer to complete their checklist.  

 

Course Enrollment Methods

Type

Description
Admin The User was Enrolled by an Admin.
API Re-Enrollment The User was Re-Enrolled into the Course by a RESTful API configuration.
Automatic The User was Enrolled by an Automatic Enrollment Rule established in the Course's Settings > Enable Automatic Enrollment > Rule section.
Mandatory The User was enrolled into a Course that had been marked as Mandatory in the Course Settings > Catalog Visibility section.
Re-enrollment

The User was Re-Enrolled into the Course by one of the following actions:

  • A User Re-Enrolled themselves.
  • The User was Re-Enrolled by an Admin from the Enrollment Report.
  • The User was Automatically Re-Enrolled per an Enrollment Rule triggered by a past Course completion.
Self

The User Enrolled themselves in the Course.

Note: This value may also be displayed in a scenario where a User has Self-Enrolled into a Course marked as Mandatory.

System The User was enrolled into the Course by an Admin, a Post-Enrollment Rule, a RESTful API configuration, or other integration.
Manager The Manager enrolls the User in a Course via the Manager Interface
Course Repurchase The User re-enrolled in a Course via repurchasing the Course.
Scheduled The User was enrolled into the Course by Scheduled Enrollment

 

Attempt Status

If... Then...
Complete The User has fulfilled all requirements within the Online Course or ILC.
Failed The User did not meet the minimum score required within the Assessment(s) contained in the Online Course.
In Progress The User has launched or began at least one Lesson within the Online Course or ILC.
Not Complete This Status will display when an Admin edited a User's Enrollment so that the User can retake the Online Course or ILC.
