Learner Competencies Report

Overview

The Learner Competencies Report provides you with details of all the Competencies that have been earned by the Learners in your LMS.  You can use this report's data to monitor and manage all Competency focused activities, and manually assign or remove Competencies from specific Learners. This article outlines the Learner Competencies Report and the actions that are available through this report.

The Learner Competencies Report is located in the Reports tab on the left side of the Admin Interface. Selecting the report name will redirect you to the Learner Competencies Report page. From here, you can filter results based on a variety of data points.

Tips:

  • This report will only display active User data.
  • Be mindful that opening a report may also bring up a favorite saved layout, or a shared default organizational report layout.
  • You will only see data that you have access to view. For example, data from Learners that an Admin does not have permission to view will not be included in their report.

 


Report Data

You can customize this report to provide information on many different data points in order to tailor it to your preferences. The available data fields, which are the columns in the report, are listed below.

  • Fields that have an asterisk (*) symbol are included in the Report's default layout. 
  • Custom fields configured in your Portal Settings will also be available. 
Data Column Description
Address This column displays the value populated in the User's Profile > Address field. 
Address 2 This column displays the value populated in the User's Profile > Address 2 field. 
City This column displays the value populated in the User's Profile > City field.
Competency Level* This column displays the Competency rating, ranging from Level 1-10, that the Learner has achieved in the LMS.
Competency Name* This column displays what the Competency is named.
Country This column displays the country that the Learner is located in.
Date Acquired This column displays the date that the Learner earned or was assigned the specific Competency.
Date Added This column displays the date that the Learner was first created and saved to the LMS.
Date Edited This column displays the date that the Learner was last updated and re-saved to the LMS.
Date Hired This column displays the date the Learner joined the organization that is associated with the LMS portal that they are using.
Date Terminated This column displays the date the Learner left the organization that is associated with the LMS portal that they were previously using.
Department* This is the classification unit used for constructing groups of Learners in the LMS that all possess a shared attribute (e.g. the same organizational trait, similar training requirements, etc.) as chosen by the Admin.
Email Address This column displays the email account of the Learner.
Employee Number This column displays the unique identifier assigned to each Learner by their organization in order to distinguish them from other individuals.
First Name* This column displays the first name of the Learner.
ID This column displays the unique identifier automatically assigned by the LMS that associates a User to a Competency.
Job Title This column displays the position that the User holds in the organization.
Language

This column displays the language that the Learner has added to their user profile.  If the learner has not added a language to their profile, this field will be blank.

Note: this field does not represent the language the learner uses to access the information on their LMS.

Last Name* This column displays the last name of the Learner.
Location This column displays the alternate name assigned by the organization to designate where the Learner is located.
Middle Name This column displays the middle name of the Learner.
Phone This column displays the Learner's contact phone number.
Postal Code The column displays the postcode associated with the geographical vicinity that the Learner is located in.
State/Province This column displays the territorial area that the Learner is located in.
Status This column displays the distinction as to whether the Learner is Active or Inactive in the LMS.
Username* This column displays the name-based identity used to distinguish each individual Learner as they are added to the LMS.

 


Report Actions

After navigating to a Report, you can perform administrative actions. These action commands become available once a row in the table is selected. The Actions menu is displayed on the right-hand frame of the page. This menu is context-sensitive, so the options for Actions and Mass Actions that are available will change depending on the content you are selecting. An individual row selection will open the Actions menu. There are no Mass Actions in this Report.

Note: Action options are dependent on your individual Admin Role permission(s). Some actions listed in the table below may not be available to all Admins. If you have questions related to your permission set, please contact your local System Admin for details.

Action Menu Option Description
Assign Competencies
This button will launch the Assign Competencies workspace where one or more Competencies can be selected in the LMS and allocated to any number of individual Users.
Edit User Click this button to launch a workspace to edit the User.
Message User Click this button to launch a workspace to compose and send a message.
User Transcript Click this button to launch a workspace to view the selected User's full training history.
Delete Learner Competency This button will erase the selected Competency from your LMS. Any Competency deleted here is permanently removed from your LMS and cannot be recovered.
Deselect Click this button to clear current selections.

 


Report Roles & Permissions

Below are the Required Role Permissions the Admin will need to access this Report and access the data to be populated.

Please note that your environment may use customized Role(s), Permissions, or a combination of both to perform these activities. If you have questions or need assistance, please contact your local System Administrator to review your current permissions.

*Admin must have Generated Reports permission in order to export report data to Excel or CSV.
