Overview

The Certificates Report provides you with details of the Certificates that have been awarded to your Learners through Course completion. You can use this Report's data to quickly assemble information related to the number of Certificates earned for a specific Course, and gather details on those Certificates.

The Certificates is located in the Reports tab on the left side of the Admin Interface. Selecting the Report name will redirect you to the Certificates Report page. From here, you can filter results based on a variety of data points.

Tips:

  • This Report includes both active and inactive User data.
  • Be mindful that opening a report may also bring up a favorite saved layout, or a shared default organizational report layout.
  • You will only see data that you have access to view. For example, data from Learners that an Admin does not have permission to view will not be included in their report.

 


Report Data

You can customize this report to provide information on many different data points in order to tailor it to your preferences. The available data fields, which are the columns in the report, are listed below.

  • Fields that have an asterisk (*) symbol are included in the Report's default layout. 
  • Custom fields configured in your Portal Settings will also be available. 
Data Column Description
Address This column displays the value populated in the User's Profile > Address field. 
Address 2 This column displays the value populated in the User's Profile > Address 2 field. 
Certificate Issuer If an Admin has manually awarded a Course completion and Certificate, then this column displays the name of that Admin. 
Certification Date* This Column displays the date that the Certificate was awarded to the User.
City This column displays the value populated in the User's Profile > City field. 
Country This column displays the value populated in the User's Profile > Country field. 
Course* This column displays the Course Name that the Certificate belongs to.
Credits If Credits were awarded at the completion of the Certificate Course, then this column displays the number of Credits awarded.
Custom Title If the Course awards a custom Certificate, then this column displays the name of that Certificate.
Date Added This column displays the date that the associated User was added to your LMS.
Date Edited This column displays the date that the associated User's Profile information was last edited.
Date Hired This column displays the value populated in the User's Profile > Date Hired field. 
Date Terminated This column displays the value populated in the User's Profile > Date Terminated field.
Department* This column displays the value populated in the User's Profile > Department field. 
Email Address This column displays the value populated in the User's Profile > Email Address field. 
Employee Number This column displays the value populated in the User's Profile > Employee Number field. 
Expires in Days* This column displays the number of days until this Certificate expires for the awarded Learner, as defined in the related Course's Settings.
Expiry Date* This column displays the date that this Certificate expires for the awarded Learner, as defined in the related Course's Settings.
External ID This column displays the value populated in the User's Profile > External ID field. This field is most commonly used for Data Integrations with HR systems.
First Name* This column displays the value populated in the User's Profile > First Name field. 
ID This column displays the unique identifier for this awarded Certificate. Each time a Learner is awarded a Certificate, that Certificate will have it's own unique ID.
Job Title This column displays the value populated in the User's Profile > Job Title field. 
Language This column displays the value populated in the User's Profile > Language field. If left blank in the User's Profile, their default language is that of your LMS' global default language found in your Portal Settings > Defaults.
Last Name* This column displays the value populated in the User's Profile > Last Name field. 
Location This column displays the value populated in the User's Profile > Location field. 
Middle Name This column displays the value populated in the User's Profile > Middle Name field. 
Notes This column displays any internal notes that have been added to the Course that the Certificate belongs to.
Phone This column displays the value populated in the User's Profile > Phone field. 
Postal Code This column displays the value populated in the User's Profile > Postal Code field. 
State/Province This column displays the value populated in the User's Profile > State/Province field. 
Type* This column displays the type of Course that the Certificate belongs to. Available options are Online Course, Instructor Led Course, and Curriculum.
User Status This column displays whether the User is Active or Inactive, as defined in their User Profile.
Username This column displays the value populated in the User's Profile > Username field. 
Valid

This column displayed whether or not the Certificate is active or expired.

Is Valid = YES: The Certificate is active and has not expired

Is Valid = NO: The Certificate has expired

 


Report Actions

After navigating to a Report, you can perform administrative actions. These action commands become available once a row in the table is selected. The Actions menu is displayed on the right-hand frame of the page.  An individual row selection will open the Actions menu. There are no Mass Actions in this Report.

Note: Action options are dependent on your individual Admin Role permission(s). Some actions listed in the table below may not be available to all Admins. If you have questions related to your permission set, please contact your local System Admin for details.

Actions

Edit Click this button to launch a workspace to edit the awarded Certificate.
Delete Click this button to delete the awarded Certificate. This will permanently remove the Certificate from the associated Learner.
Download Click this button to download a copy of the awarded Certificate.
Deselect Click this button to clear current selections.

 


Report Roles & Permissions

Please note that your environment may use customized Role(s), Permissions, or a combination of both to perform these activities. If you have questions or need assistance, please contact your local System Administrator to review your current permissions.
