The Certificates Report

Introduction

The Certificates Report provides you with details of the Certificates that have been awarded to your Learners through Course completion. You can use this Report's data to quickly assemble information related to the number of Certificates earned for a specific Course and gather details on those Certificates.

The Certificates Report is in the Reports menu on the left side of the Admin Interface. Selecting the Report name will redirect you to the Certificates Report page. From here, you can filter results based on various data points. 

 


Report Data

You can customize this report to provide information on any data points listed below.

Notes

  • The Certificates Report includes both active and inactive User data.
  • You will only see data that you have access to view. For example, the report won't include data from learners you cannot view.

 

Date Fields

Data Column  Details
Address This column displays the value populated in the User's Profile > Address field. 
Address 2 This column displays the value populated in the User's Profile > Address 2 field. 
Certificate Issuer If an Admin has manually awarded a Course completion and Certificate, this column displays that Admin's name. 
Certification Date* This Column displays the date that the Certificate was awarded to the User.
City This column displays the value populated in the User's Profile > City field. 
Country This column displays the value populated in the User's Profile > Country field. 
Course* This column displays the Course Name that the Certificate belongs to.
Credits If Credits were awarded after the Certificate Course, this column displays the number of Credits awarded.
Custom Title If the Course awards a custom Certificate, then this column displays the name of that Certificate.
Date Added This column displays the date the associated User was added to your LMS.
Date Edited This column displays the date the associated User's Profile information was last edited.
Date Hired This column displays the value populated in the User's Profile > Date Hired field.
Date Terminated This column displays the value populated in the User's Profile > Date Terminated field.
Department* This column displays the value populated in the User's Profile > Department field. 
Email Address This column displays the value populated in the User's Profile > Email Address field. 
Employee Number This column displays the value populated in the User's Profile > Employee Number field. 
Expires in Days* This column displays the days until this Certificate expires for the awarded Learner, as defined in the related Course's Settings.
Expiry Date* This column displays the date this Certificate expires for the awarded Learner, as defined in the related Course's Settings.
External ID This column displays the value populated in the User's Profile > External ID field. This field is most commonly used for Data Integrations with HR systems.
First Name* This column displays the value populated in the User's Profile > First Name field. 
ID This column displays the unique identifier for this awarded Certificate. Each time a Learner is awarded a Certificate, that Certificate will have its unique ID.
Job Title This column displays the value populated in the User's Profile > Job Title field. 
Language This column displays the value populated in the User's Profile > Language field. If left blank in the User's Profile, their default language is that of your LMS' global default language found in your Portal Settings > Defaults.
Last Name* This column displays the value populated in the User's Profile > Last Name field. 
Location This column displays the value populated in the User's Profile > Location field. 
Middle Name This column displays the value populated in the User's Profile > Middle Name field. 
Notes This column displays any internal notes added to the Course the Certificate belongs to.
Phone This column displays the value populated in the User's Profile > Phone field. 
Postal Code This column displays the value populated in the User's Profile > Postal Code field. 
State/Province This column displays the value populated in the User's Profile > State/Province field. 
Type* This column displays the type of Course that the Certificate belongs to. Available options are Online Courses, Instructor-Led Courses, and Curriculum.
User Status This column displays whether the User is Active or Inactive, as defined in their User Profile.
Username This column displays the value populated in the User's Profile > Username field. 
Valid This column displayed whether or not the Certificate is active or expired.
Is Valid YES: The Certificate is active and has not expired.
Is Valid NO: The Certificate has expired.

 


Report Actions

After generating a Report, you can perform administrative actions. Commands to modify Report data become available once the checkbox of a table row item is selected (checked). The menu is displayed on the right-hand frame of the page. This menu is context-sensitive. The available options for Actions and Mass Actions will change depending on the content you are selecting.

  • An individual row selection will open the Actions menu.
  • Multiple row selections will open the Mass Actions menu.

Action options depend on your Admin Role permission(s).  Some actions in the table below may not be available to all Admins.  If you have questions related to your permission set, please contact your local System Admin for details.

 

Actions

The actions in the table below can be applied to a single-row item.

  • There are no Mass Actions available for the Certificates Report.
Action Menu Option Description
Edit Click this button to launch a workspace to edit the awarded Certificate.
Delete Click this button to delete the awarded Certificate. This will permanently remove the Certificate from the associated Learner.
Download Click this button to download a copy of the awarded Certificate.
Deselect Click this button to clear current selections.

 


Report Roles & Permissions

Please note that your environment may use customized Role(s), Permissions, or a combination of both to regulate access to this report.

Admins must have Generated Reports in their Role, in order to export data to Excel or CSV on any Administration page or Report page.
