Course Approvals Report

The Course Approvals Report provides a list of Course enrollment requests submitted by Learners. Administrators can use this report to review, approve, or decline requests, and communicate with Learners as needed.

The report is located in the Reports tab within the Admin Experience. From the report page, you can filter results using various data points to refine your view.

Course Approvals Report Overview

This section outlines key considerations when accessing and using the Course Approvals Report.

  • This report includes both Active and Inactive User data.
  • Saved or shared report layouts may automatically load when opening the report.
  • You will only see data that your Admin permissions allow you to access.

 

Report Data

You can customize the report by selecting different data fields (columns) based on your reporting needs. Fields marked with an asterisk (*) are included in the default layout. Custom Fields configured in Portal Settings are also available.

Data Column Description
Address Displays the value from the User Profile > Address field.
City Displays the value from the User Profile > City field.
Course Title* Displays the name of the Course associated with the enrollment request.
Date Added Displays the date the Course was created.
Department* Displays the value from the User Profile > Department field.
Email Address Displays the value from the User Profile > Email Address field.
First Name* Displays the value from the User Profile > First Name field.
Last Name* Displays the value from the User Profile > Last Name field.
Type Displays the Course type (Online Course, Instructor Led Course, or Curriculum).
Username Displays the value from the User Profile > Username field.

 

Report Actions

After selecting one or more rows in the report, administrative actions become available in the right-hand panel. The available options depend on your selection and Admin permissions.

 

Single Item Actions

These actions apply when a single row is selected.

Action Description
Approve Approves the selected enrollment request.
Decline Declines the selected enrollment request.
Message User Opens a message workspace to contact the User.
Edit User Opens the User profile for editing.
Deselect Clears the current selection.

 

Mass Actions

These actions apply when multiple rows are selected.

Action Description
Approve Approves all selected enrollment requests.
Decline Declines all selected enrollment requests.
Message Users Sends a message to selected Users, Groups, or Departments.
Activate Users Sets selected Users to Active.
Deactivate Users Sets selected Users to Inactive.
Change Department Reassigns selected Users to a different Department.
Enroll Users Enrolls selected Users into training.
Deselect Clears the current selection.

 

Note: Available actions depend on your Admin role permissions. Your System Administrator can provide assistance if you require additional access.

Roles and Permissions

Access to the Course Approvals Report and its data depends on assigned role permissions. Your organization may use customized roles.

 

Required Permissions

The following permissions are required to access the report.

Suggested Permissions

The following permissions enhance report functionality but are not required.

*The Generated Reports permission is required to export report data.
