Admin Refresh Experience: Course Administration

Overview

The Courses page (also referred to as the Courses Administration page), provides you access to manage all Online Courses, Curricula, Instructor-Led Courses, and Course Bundles created within your Absorb LMS environment.  This page presents in the familiar report-page style, which allows you to add new content, edit existing Courses, modify User enrollments, and much more!

Note: Create Online Courses to utilize Admin Refresh Experience functions like Observation Checklists and Electronic Signatures (E-Signatures).  You can also include a variety of other Learning Objects.

 

Page Details

The Courses Administrative page is nested within the Courses menu of the Admin Refresh Experience. When you first navigate to this page you may be presented with a default report view, a favorite saved layout, or the shared organizational default layout.

Report Data

You can customize this report to provide information on any of the data points listed below.

Notes

 

Data Column Description
# of Ratings

This column displays the total number of User ratings the Course has received. 

Access Date

This column displays the value populated in the Access Date field of the Course’s Settings > Availability section.

Allow Comments

This column displays the current configuration of the Allow Comments feature of the Course's Settings > Social section.

  • If Yes = The feature is enabled.
  • If No = The feature is disabled.
Allow Ratings

This column displays the current configuration of the Enable Course Rating feature of the Course's Settings > Attributes section.

  • If Yes = The feature is enabled.
  • If No = The feature is disabled.
Allow Self Enrollment

This column displays the current configuration of the Allow Self Enrollment feature of the Course's Settings > Attributes section.

  • If Yes = The feature is enabled.
  • If No = The feature is disabled.
Audience

This column displays the value populated in the Audience field of the Course’s Settings > Attributes section.

Automatic Enrollment

This column displays the current configuration of the Automatic Enrollment feature of the Course's Settings > Attributes section.

  • If Yes = The feature is enabled.
  • If No = The feature is disabled.
Average Rating

This column displays the Course's Average Rating.  This value is calculated by dividing the total number of Ratings by the number of users who submitted a rate value.

Category *

This column displays the value populated in the Category field of the Course’s Settings > Catalog Visibility section.

Certificate Expiry

This column displays a value based on the selected Expiry type in the Course’s Settings > Completion > Certificate section.

  • If No Expiry = N/A. The field will present as empty.
  • If Time from Completion = N/A. The field will present as empty.
  • If Date = The Certification's expiration date and time are displayed.
Certificate Expiry Type

This column displays a value based on the selected Expiry type in the Course’s Settings > Completion > Certificate section.

  • If No Expiry = The field will display "None."
  • If Time from Completion = The field will display "Duration."
  • If Date = The field will display "Date."
Course Library

This column displays the Vendor name of the Course Library that the training content is provided by.

  • Absorb LMS has integration partnerships with Absorb Create, BizLibrary, LinkedIn Learning, and Skillsoft.
  • Courses that use content created by Skill Pill, Whil, or Traliant will display "Content Libraries".
Created By

This column displays the name of the Admin who created the Course.

Credits

This column displays the value populated in the Credits field(s) of the Course’s Settings > Completion section.

Date Added

This column displays the date and time of the Course's creation in the system.

Date Expires

This column displays a value based on the selected Expiration option in the Course’s Settings > Availability > Expiration section.

Description

This column displays the text populated in the Description field of the Course’s Settings > General section.

Due Date

This column displays a value based on the selected Due Date option in the Course’s Settings > Availability section.

Enable E-Commerce

This column displays the current configuration of the Enable E-Commerce feature toggle button of the Course's Settings > Enrollment Rules section.

  • If Yes = The feature is enabled.
  • If No = The feature is disabled.
External id

This column displays the value populated in the External ID field of the Course’s Settings > Attributes section.

Featured Course

This column displays the current configuration of the Featured Course toggle button of the Course's Settings > Catalog Visibility section.

  • If Yes = The feature is enabled.
  • If No = The feature is disabled.
Goals

This column displays the value populated in the Goals field of the Course’s Settings > Attributes section.

Has Certificate

This column displays the configuration of the Certificate toggle button of the Course's Settings > Completion section.

  • If Yes = The feature is enabled.
  • If No = The feature is disabled.
Has E-Signature Lesson

This column displays whether the Course contains an Electronic Signature (E-Signature) Learning Object.

  • If Yes = The Course includes an E-Signature Learning Object.
  • If No = The Course does not include an E-Signature Learning Object.
Id

This column displays the Course ID (GUID) automatically generated by the LMS when the Course is created. 

Language

This column displays the value populated in the Course's Settings > Language field.

Note: If a language has not been identified, this field will be empty.

Mandatory Course

This column displays the current configuration of the Mandatory Course toggle button of the Course's Settings > Catalog Visibility section.

  • If Yes = The feature is enabled.
  • If No = The feature is disabled.
Name

This column displays the value populated in the Title (Name) field of the Course’s Settings > Title section.

Send Enrollment Email

This column displays the current configuration of the Send Enrollment Email check box of the Course's Settings > Messages section.

  • If Yes =  The feature is enabled.
  • If No = The feature is disabled.
Send Nudge Email

This column displays the current configuration of the Send Nudge Email check box of the Course's Settings > Messages section.

  • If Yes =  The feature is enabled.
  • If No = The feature is disabled.
Status

This column displays the current status of the Course.

  • If Active = The Course is available to Users.
  • If Inactive = The Course is unavailable and cannot accept new records (Enrollments, Completion, etc.)
Terms & Conditions

This column displays the current configuration of the Show Terms & Conditions toggle button of the Course's Settings > Syllabus section.

  • If Yes = The feature is enabled.
  • If No = The feature is disabled.
  •  
Type

This column identifies the Course Type

  • Course Bundle
  • Curriculum
  • Instructor-Led Course
  • Online Course
Variable Credits Enabled

This column displays the current configuration of the Variable Credits Enabled option of the Course's Settings > Completion section.

  • If Yes = The feature is enabled.
  • If No = The feature is disabled.
Vendor

This column displays the value populated in the Vendor field of the Course’s Settings > Attribute section.

 


Actions & Mass Action Options

Course Administration

After generating a report, you can perform administrative actions. Commands to modify Report data become available once the checkbox of a table row item is selected (checked). The menu is displayed on the right-hand frame of the page. This menu is context-sensitive. The options for Actions and Mass Actions that are available will change depending on the content you are selecting.

  • An individual row selection will open the Actions menu.
  • Multiple row selections will open the Mass Actions menu.

Note: Action options are dependent on your individual Admin Role permission(s).  Some actions listed in the table below may not be available to all Admins.  If you have questions related to your permission set, please contact your local System Admin for details.

Actions

The actions listed in the table below are applied to a single selection

Action Menu Option Description
Edit  Click this button to launch a workspace to view and edit the selected Course's Settings.
Duplicate Click this button to duplicate the selected Course.  A workspace will launch to view and edit the Course Settings.
Enroll User

Click this button to launch a workspace to enroll User(s) into the selected Course.

Note: If a User has previously completed the selected Course, use the Re-Enroll option to create a new assignment.

Course Enrollments Click this button to launch the Course Enrollment Report.  From there you can view and manage User Enrollments.  Current and historical enrollment information will be available.
View Activity Report Click this button to launch the Course Activity Report. From there you can view and manage User Enrollments.
Ratings

Click this button to launch the Ratings Report. 

Note: This action button will be inactive unless a Course has enabled this feature in the Course Settings > Attributes section.

Manage Comments Click this button to launch the Comments Report.  From there you can view and manage User-submitted Comments for the selected Course.
Delete

Click this button to delete the selected Course.

Important: Courses (and their associated Enrollments) removed using this method are permanently removed from the LMS and cannot be recovered.

Deselect Click this button to clear current selections.

 

Mass Actions

The actions listed in the table below are applied to multiple items at a time

Action Menu Option Description
Enroll Users Click this button to launch a workspace where you can enroll Users in the selected training contained in the system.
Deselect Click this button to clear current selections.

Please note that your environment may use customized Role(s), Permissions, or a combination of both to regulate access to this report.

If you have questions or need assistance, please contact your local System Administrator to review your current permission set.
