You can now skip repetitive one-by-one enrollment by uploading a CSV that instantly maps Learners to the right Online Courses or Curricula. Our CSV template is available from this article as an attachment, on the right hand side of this page.
Administrators should test all CSV data prior to uploading, as imports cannot be rolled back once complete.
This article advises specifically on in-Portal functionality for importing Enrollments via CSV files, not paid one time or recurring imports done by our Technical Services team. Data mapping is not relevant to the functionality outlined in this article, and only applies to imports done by our Technical Services team. For more information, please see the Data Imports article.
To Bulk Enroll Users with a CSV, follow these steps:
- Access the Admin Experience in your Portal.
- Open the Courses Menu from the left hand side and select the Courses Report.
- From the Courses Report, click Import Enrollments on the right hand side under Actions.
- Click the Choose File button and select the CSV you want to Import.
- The data will be validated after you import the CSV. If there are any errors, for example if a User is not found, a Course is not found, or the data is not in the right order, you will see an error banner and a button to download an error log to fix and try your import again.

- Select whether to re-enroll Users with a previous enrollment.
- Course Complete: If checked, Users who have already completed the Course will be re-enrolled. If unchecked, those rows in the CSV will be ignored.
- Course Incomplete: If checked, Users who are enrolled but haven't completed the Course will be re-enrolled. If unchecked, those rows will be ignored.

Once your file is error-free and you're ready to bulk enroll your Learners into Online Courses, click Import.
-
You'll be returned to the Courses Report, where a message will confirm that the import is in progress. You can continue working in the LMS while it runs and you will receive an email once it's complete.

Important Information
The following are insights into using the Import Enrollments functionality:
- If the case used for Username in the CSV does not match the case used in the LMS, the validation will fail.
- An example would be if the Username 'TheMaker' in the LMS, was passed in the CSV as 'themaker'.
-
Date Enrolled in the CSV will be interpreted using the timezone of the Admin performing the import.
- Ex: If an Admin who resides in a Mountain Standard Time region performs the import, Absorb will interpret the Date Enrolled in Mountain Standard Time.
- At this time the Import Enrollments feature only allows Enrollments for Online Courses and Curricula to be created. Instructor Led Courses are not currently supported.
- When the Import Enrollments functionality is used, the Admin who processed the import isn't captured for the Initiated By attribute on the Activity Feed, or the Added By attribute in Analyze Essentials.
Completion Data
The Import Enrollments tool creates new Enrollments only. It does not import completion records, scores, or historical training history. To bring completion data into Absorb LMS, use the paid Data Imports service delivered by the Technical Services team.
For scope, file requirements, and how to engage the team, see the Data Imports article.
Using the CSV Template
The Import Enrollments page in the Admin Experience features a link to this page, where the CSV template can be downloaded. The CSV template is available as an attachment on the right side of this page.
When you have downloaded the CSV template, you will see that it includes 3 columns. These are the only available fields for use when importing Enrollments:
- Username
- Course ID
- Date Enrolled
Please be advised that the Date Enrolled field must be filled out in YYYY-MM-DD format, and will only be reflected in reporting. It will not determine when a Learner gets enrolled. To Schedule Enrollments, please use the Scheduled Enrollments tool.
Using the format of the CSV template, replace the existing values with the appropriate information, limiting your CSV to 10,000 lines or fewer.
Note that Course IDs can be found in the Course Enrollments report under the Course ID column, or the ID column from the Courses Report.
