Analyze Essentials: Exporting and Scheduling Reports

Use this article to learn how to Export custom Reports from Analyze Essentials and how to Schedule Report generation and email distribution to stakeholders.

This article assumes that you already have access to Analyze Essentials. If you are new to the feature, we recommend reviewing the main Analyze Essentials overview article before you begin.

 

Exporting Reports

After you configure and save a Report Layout, you can generate and Export the Report as a CSV file for use in other systems.

Generate and Export a Custom Report

To generate and Export a custom Report:

  1. Open Analyze Essentials and configure your Custom Report as needed on the Live Edit page.
  2. Click Save Report to save the Report Layout.

     
  3. Click Export. Report generation begins.

     
  4. While the Report is generating, optionally click Email Upon Completion. This allows you to leave the page. When the Report is ready, a copy is emailed to you.

     
  5. After generation completes, click Download Report to download the Report as a CSV file.

 

Scheduling Reports

You can schedule a custom Report to run automatically and send the output to specific recipients. This is useful when stakeholders, instructors, or office administrators rely on the data on a recurring basis.

Configure a Report Schedule

To configure a custom Report to generate on a schedule and be sent to recipients:

  1. Click Schedule from the Edit Report page.

     
  2. On the scheduling panel for the Report, set Schedule Status to Active.

     
  3. In the Frequency field, select Daily, Weekly, Monthly, or Yearly.

     
  4. Under Recipients, enter the email addresses of the recipients you want to send the report to. Separate multiple addresses with spaces. You may also select one or more Groups which should receive the Report.

     
    • Keep in mind that all Users in the selected Group will receive the Report, regardless of Role.
  5. Click Save Report. The Report begins to generate according to the selected Schedule Frequency.

 

Schedule Frequency

The Frequency setting controls how often the Report runs. Only one Frequency can be selected, and Frequency cannot be left blank.

When you select a Frequency, additional options appear so that you can define the exact date and time when the Report should run.

 

Daily Schedule

Use a Daily schedule to generate the Report every day at a specific time.

  1. In the Frequency field, select Daily.
  2. In the Time field, click the time picker icon and select the time of day when the Report should run.

Weekly Schedule

Use a Weekly schedule to generate the Report on one or more days of the week.

  1. In the Frequency field, select Weekly.
  2. Click the day selector icon and choose one or more days of the week.
  3. In the Time field, select the time of day when the Report should run, the same way as a Daily schedule.

Monthly Schedule

Use a Monthly schedule to generate the Report on specific days of the month.

  1. In the Frequency field, select Monthly.
  2. Click the day selector icon and choose one or more days of the month.
  3. In the Time field, select the time of day when the report should run, the same way as a daily schedule.


Reports scheduled to run on a specific day do not run in months that do not include that day. For example, if you select day 30, the report does not run in February.

Yearly Schedule

Use a Yearly schedule to generate the Report in specific months and on specific days.

  1. In the Frequency field, select Yearly.
  2. Click the month selector icon and choose one or more months of the year.
  3. Select one or more days of the month, the same way as a Monthly schedule.
  4. In the Time field, select the time of day when the report should run, the same way as a Daily schedule.

 

As with Monthly schedules, Reports scheduled to run on a specific day do not run in months that do not include that day. For example, if you select day 30, the report does not run in February.

Report Schedule Recurrence

Use the recurrence settings to control how long the schedule remains active.

  1. In the From field, select the date when the schedule should start.
  2. In the To field, select the date when the schedule should end.


The default recurrence for new schedules is two years. Schedules created before Q2 2024 are set to end automatically after five years.

Report Recipients

The Author email address is displayed for information and cannot be edited.

To send the Report to additional recipients, use the following options:

  • In the Additional Email Addresses field enter the email address of the recipients and then press the Enter key.

     
  • In Groups, click the selector and choose one or more Groups. All Users in the selected Groups receive the Report, regardless of their Role.

 

A copy of the generated Report is attached to recipient emails when the report file size is below 15 MB. The author’s email also includes a link to the generated report.

When the generated report exceeds 15 MB, all emails contain a link to the report instead of an attachment.
