FAQ: External ID Uniqueness

The External ID is commonly used to uniquely identify a User when integrating Absorb LMS with external systems such as Human Resources Information Systems (HRIS), identity providers, or custom integrations. This article explains why maintaining a unique External ID for each User is critical for data accuracy and system reliability.

 

How External IDs Are Used

An External ID acts as a persistent identifier that allows external systems to reference a specific User in Absorb LMS. During processes such as a User sync with a Connected App the External ID is often the primary value used to determine which User record should be updated.

When External IDs are unique, integrations can reliably match incoming data to the correct User. This ensures that updates such as name changes, department assignments, or employment status are applied accurately and consistently.

 

Risks of Duplicate External IDs

If multiple Users share the same External ID, Absorb LMS cannot reliably determine which User should be updated during an integration or API-driven process. This can result in data being written to the wrong User record, unexpected overwrites, or failed synchronization events.

Duplicate External IDs may also impact reporting, enrollment automation, and downstream systems that rely on accurate User mappings. Over time, these issues can lead to data integrity problems that are difficult to diagnose and correct.

 

Best Practice

To avoid conflicts and ensure reliable integrations, each User in Absorb LMS should have a single, unique External ID. This value should be treated as immutable whenever possible and sourced from a system that already enforces uniqueness, such as an HR or identity management platform.
