Department Message Branding

Message Branding allows you to customize the appearance, contact details, and sender identity of emails sent to Learners within a specific Department. This is useful for Portals supporting multiple brands, regions, or subsidiaries, where each Department requires a distinct email identity.

Department Message Branding is enabled by default for System Admins and Admins, provided they have the Manage Message Branding permission enabled. 

 

Access Message Branding

Message Branding can be configured from the Departments report or the Edit Department page. New Departments must be saved before Message Branding can be configured. 

To access Message Branding for a Department, follow the steps below: 

  1. Access the Admin Experience.
  2. Open the Users menu and select Departments.

  3. Locate the Department you want to configure and open its Action menu.

  4. Click Message Branding.

 

Message Branding can also be accessed from the Edit Department page. To access Manage Message Branding through this page, follow the steps below:

  1. Access the Admin Experience.
  2. Open the Users menu and select Departments.

  3. Select the Department you want to configure Message Branding for.
  4. Click Edit Department in the Action menu.

  5. Scroll down to Message Branding
  6. Click Manage

Branding

The Branding section controls the visual appearance of messages sent to Learners in the Department. A Brand Source toggle determines where these values come from:

  • Use Learner Theme Branding: Base color, Highlight color, and Message header logo are read-only and inherited from the Department's Learner Theme.

  • Use Custom Message Branding: Base color, Highlight color, and Message header logo become editable for this Department only. The logo can either be uploaded to the LMS or linked from a URL.

Footer Text is always editable, regardless of Brand Source, and supports the {{Company Name}} placeholder.

When uploading or linking a Message header logo, files must be PNG, JPG, or SVG format, up to 600 KB. The recommended dimensions are 620 x 312 pixels.

 

Message Contact Details

The Message Contact Details section allows you to override the contact information included in messages sent to Learners in this Department.

  • Company name (required)
  • Company email
  • Company phone number 
  • LMS name

Message Details

The Message Details section allows you to identify the team or subsidiary an email is sent on behalf of, separately from the Portal's technical sender.

  • From Name: The sender name displayed to the Learner.
  • From Email: This field is read-only. It displays either Absorb's default sender address, or your Portal's configured sender address if custom SMTP has been set up.
  • Reply to Email: The address Learner replies are directed to.

Inheritance and Overrides

Each section of Message Branding can be configured independently, and settings cascade down the Department hierarchy.

The Message Contact Details and Message Details sections each display a badge indicating Inherited from Portal or Overridden. Click Reset to default to remove an override and inherit the value from the Parent Department or Portal again.

If a Department does not have an override configured for a given section, the value is inherited from its Parent Department. If no Parent Department has an override, the Portal's default value is used.

 

Roles and Permissions

Below are the required Role Permissions Admins will need to manage Message Branding within the LMS.

Please note that your environment may use customized Roles, Permissions, or a combination of both to perform these activities. If you have questions or need assistance, reach out to your local System Administrator to review your current permissions.
