A Note: Deployment timelines are as per the release date above. New features may take up to one week to become available in your environment after deployment.

This release updates how Admins create and manage Sessions for Instructor Led Courses (ILCs). A redesigned Session dialog lets each Session contain multiple Classes with their own schedules, Instructors, and Venues. Instructor and Venue conflicts are flagged before you select, and Learners can be enrolled while the Session is being set up.

For full details, see ILC Classroom Management.

Availability & Impact

Who's affected: Admins whose role includes the Modify Instructor Led Courses and/or Add Sessions permissions.

Default state: This functionality will be enabled by default.

Admin control: No Admin action is required to activate this functionality.

New Features

The following features are new to ILC Session creation and management in the Admin Experience (AE).

Multi-Class Sessions

Sessions are now made up of one or more Classes. Each Class has its own date, start and end time, time zone, Instructors, Venue, and break duration. This makes it possible to run a single Session across several days with schedules, Instructors, or Venues that change from one Class to the next.

Sessions are built in a new full-width Session dialog, organized into Details, Classes, Enrollment Rules, Capacity, and Advanced Options sections.

Recurring Classes

Turn on Recurring to generate a list of Classes from a schedule rule. Choose how often the Class repeats, select the days it repeats on, and set it to end on a Specific date or after a number of Occurrences. A summary shows how many Classes will be created before you click Generate classes.

Each generated Class can then be edited individually, and Classes can be added or removed without deleting the Session. A recurrence can generate up to 99 Classes.

Instructor and Venue Conflict Indicators

The Instructors and Venue pickers now flag scheduling conflicts before you make a selection. If an Instructor or Venue is already booked in another published Session, or in another Class of the same Session, it is marked with an icon and text. Conflicts are warnings only, so you can still proceed with a conflicting selection.

If a Venue does not exist yet, click Add venue on the Class card to create it. The new Venue is selected for the Class automatically.

Enroll Learners While Adding a Session

A new Enroll learners action in the Sessions list lets Admins select Learners for a Session during setup. Selections are saved with the draft, and Learners are enrolled in both the ILC and the Session when you click Publish or Quick Save.

After publishing, a notification for each Session reports how many Learners were enrolled and how many could not be enrolled, with a link to the ILC Activity report.

Class Instructor Merge Tag

The new {{ClassInstructor}} merge tag displays the Instructor for each Class. It can be used inside the {{#Classes}} … {{/Classes}} block of the Session Updated, Session Enrollment, and Instructor Notification templates.

Updated Features

The following existing features have been updated to support the new Session and Class model.

Session Settings

Enrollment Rules, Capacity and Waitlist settings, and External ID are carried over from the previous Session dialog into the new layout. Each Class now requires at least one Instructor and a Venue before the Session can be saved.

Session Notifications

Session notifications now reflect changes at the Class level:

  • Instructors receive the Instructor Notification when they are assigned to a Class.
  • Enrolled Learners receive the Session Updated notification when a Class is removed from their Session.
  • Calendar attachments (.ics) match the dates, times, and time zone set for each Class.

Editing a published Session preserves attendance and enrollment data for Classes that were not changed.
