In an Instructor Led Course (ILC), each Session is made up of one or more Classes. Each Class has its own date, time, time zone, Instructors, Venue, and break duration. This allows a single Session to run across several days, with schedules, Instructors, or Venues that vary from one Class to the next.
This article explains how Admins create and manage Sessions and Classes in the Admin Experience (AE). It covers the Session dialog, recurring Classes, Instructor and Venue conflict indicators, enrolling Learners while adding a Session, and related notifications.
For steps to create the ILC itself, see How to Create an Instructor Led Course (ILC).
Sessions and Classes
Before building a Session, it helps to understand how the following terms relate to each other:
Element |
Description |
| Session | The enrollable unit of an ILC. Learners enroll in a Session, and each Session contains one or more Classes. |
| Class | A single scheduled meeting within a Session. Each Class has its own date, start and end time, time zone, Instructors, Venue, and break duration. |
| Multi-Class Session | A Session with several Classes. For example, a Session might meet Monday and Wednesday from 9:00 AM to 11:00 AM, and Friday from 1:00 PM to 3:00 PM, with a different Instructor or Venue on each day. |
| Class Instructor | An Instructor assigned to a specific Class rather than to the whole Session. The Session's Instructor list includes every Instructor assigned to any of its Classes. |
| Break Duration | The length of the break for a Class, in minutes. Break duration is set on each Class. |
Add a Session
Sessions are added from the Sessions section of an ILC. Selecting Add Session opens the Session dialog, a full-width page with sections for Details, Classes, Enrollment Rules, Capacity, and Advanced Options.
To add a Session:
- In the AE, navigate to the Courses report.
- Select the ILC you want to add a Session to.
- Click Edit.
- Navigate to the Sessions section.
- Click Add Session. The Session dialog opens.
- Complete the required fields.
- Configure the Enrollment Rules, Capacity sections as needed.
- Save the Session.
- Click Publish to make the Session live.
After a Session is added, it appears in the Sessions list of the ILC. From this list, you can Edit or Duplicate a Session, or use Enroll learners to select Learners for it.
A Session can only be saved when every Class has at least one Instructor, a Venue, a start time, and an end time that is after the start time.
Session Dialog Settings
The Session dialog groups its settings into five sections. The following sections describe each setting, with required fields noted.
Session Details
The Details section contains the basic information that identifies the Session:
Element |
Description |
| Name | Required. The name of the Session, up to 450 characters. If this field is empty, the message Name is required appears. |
| Description | Optional. A description of the Session. |
Schedule
The Date and time area sets the schedule for a Class. When creating a recurring schedule, these values are used for the first Class.
Element |
Description |
| Start date | Required. The date of the Class. |
| Start time | Required. The time the Class begins. |
| End time | Required. The time the Class ends. If the end time is not after the start time, the message End time must be after start time appears and the Session cannot be saved. |
| All-day | A checkbox that makes the Class span the full day. When selected, the time fields are disabled. |
| Timezone | Required. The time zone the Class is held in. |
Enrollment Rules
The Enrollment Rules section controls who can enroll in the Session and when. As you configure these settings, an alert shows how many Learners the Session is available to for Self-Enrollment.
Element |
Description |
| Self-Enrollment | A toggle that allows Learners to enroll themselves. Select All learners, or select Specific learners and use Add Rule and Refine Rule to define who qualifies. |
| Approval required | A toggle that requires Session enrollments to be approved. When turned on, select the approver role. For more information, see Enrollment Approval. |
| Enrollment date | A toggle that sets the start and end date and time of the enrollment window. |
Capacity
The Capacity section limits how many Learners can enroll and whether a Waitlist is available:
Element |
Description |
| Limit class size | A toggle that sets a Minimum and Maximum number of Learners. A validation message appears if the Minimum is greater than the Maximum. |
| Waitlist | A toggle that turns on a Waitlist for the Session, with an Expiration setting. For more information, see Waitlist Lifecycle. |
Attributes
The Advanced Options section contains the optional External ID field. Use this field to track the Session in external systems.
Create Recurring Classes
Recurring Classes are useful when a Session meets on a regular schedule, such as every Monday and Wednesday for six weeks. After the Classes are generated, each one can be edited on its own.
To create recurring Classes:
- In the Schedule area, set the Start date, Start time, End time, and Timezone for the first Class.
- Turn on the Recurring toggle.
- In Repeat every, select a value.
- Select Day, Week, Weekday, Month, or Year.
- Click Regenerate recurrences to review the classes.
Changing the frequency, days, or end condition after generating Classes regenerates the Class list and replaces any edits made to individual Classes. Finalize the recurrence before editing individual Classes.
Instructor and Venue Conflict Indicators
The Instructors and Venue pickers show scheduling conflicts before you make a selection. If an Instructor or Venue is already booked during the time of a Class, it is marked in the picker with an icon and text. Conflicts are checked for each Class and include:
- Bookings in other published Sessions during the same time.
- Overlaps with other Classes in the Session you are editing.
Conflict indicators are warnings only. If you select a conflicting Instructor or Venue, a warning appears, but you can still proceed with the selection.
To assign an Instructor or Venue using conflict indicators:
- Confirm the Class has a valid date, start time, and end time.
- Open the Instructors or Venue picker on the Class card.
- Review any entries marked as conflicting.
- Select an available option, or select a conflicting option and review the warning before proceeding.
Add a Venue from the Class List
If the Venue you need does not exist yet, you can create it without leaving the Session dialog. For details on Venue fields and types, see Instructor Led Courses: Venues.
- On the Class card, click Add venue. The Add Venue dialog opens.
- Complete the Venue details.
- Save the Venue. The new Venue is selected for the Class automatically.
Enroll Learners While Adding a Session
Admins can select Learners for a Session while setting up the ILC, instead of enrolling them in a separate step afterward. Selected Learners are enrolled in both the ILC and the Session.
Clicking Save in Enroll learners only stores your selection with the draft. Learners are enrolled after you click Publish or Quick Save. If you cancel the draft, your selections are discarded.
To enroll Learners while adding a Session:
- In the Sessions list of the ILC, click the Enroll learners icon for the Session.
- Search for the Learners you want to enroll.
- Select each Learner to enroll. The number of selected Learners updates as you select.
- Click Save.
- Repeat these steps for any other Sessions.
- Click Publish or Quick Save.
Your selection is restored if you reopen Enroll learners before publishing. To clear a selection, deselect all Learners and click Save. Closing the window without clicking Save discards any changes.
Enrollment Results
After publishing, a notification appears for each Session with selected Learners. It reports how many Learners were enrolled and how many could not be enrolled, and links to the ILC Activity report filtered to that Session. When creating a new ILC, the page waits for these notifications before navigating away.
The notification shows counts only. To see which Learners were not enrolled, use the link to open the ILC Activity Report. Counts for very large selections may be approximate.
Learner Selection Rules
Standard enrollment rules apply to Learners selected this way, including class size limits and Waitlists. Keep the following in mind:
- If the ILC does not allow enrollment in multiple Sessions, Learners who are already enrolled in or selected for another Session of the ILC cannot be selected. For more information, see Multi-Session ILCs.
- For Sessions that require approval, enrollments made this way behave the same as other Admin enrollments.
- Enroll learners is not available for cancelled Sessions.
- Enroll learners is only available to Admins with permission to modify Session enrollments.
Notifications
Session and Class changes trigger the following Message Templates. For details on each template, see Message Template Types.
Element |
Description |
| Instructor Notification | Sent to Instructors when they are assigned to a Class. |
| Session Updated | Sent to enrolled Learners when a Class is removed from their Session. |
| Session Enrollment | Sent to Learners when they are enrolled in a Session. Calendar attachments (.ics) reflect the dates, times, and time zone set for each Class. |
Class Instructor Merge Tag
The {{ClassInstructor}} merge tag displays the Instructor for each Class. Add it inside the {{#Classes}} … {{/Classes}} block of the Session Updated, Session Enrollment, and Instructor Notification templates. For a full list of available fields, see Message Template Fields.
Please note that email notifications must be enabled at the Course level, and at the Portal level (within Setup > Message Templates) in order for Users to receive them.
The Learner Experience
Learners enrolled in a Session see all of its active and upcoming Classes, including the date, time, time zone, and Venue of each Class. When a Class is removed, it no longer appears in the Learner's view.
For more information on how Learners find and join Sessions, see New ILC Learner Calendar and How To: Join an ILC Session.
Roles and Permissions
Creating, editing, and deleting Sessions requires Admin permissions for ILCs. The Enroll learners action also requires permission to modify Session enrollments. For more information, see Admin Roles & Permissions.
Troubleshooting
The following answers cover common questions about conflict indicators, saving Classes, and enrolling Learners. Click a question to expand it.
Why wasn't a conflict flagged for a booking I know exists?
Conflict indicators only check published Sessions. Unpublished changes in other ILCs are not checked, and the Session you are editing never conflicts with itself.
Why are no conflict indicators showing at all?
The pickers only check for conflicts once the Class has a valid date and time. Confirm the Class has a start date, start time, and end time, and that the end time is after the start time.
Why can't I save a Class?
Each Class needs at least one Instructor, a Venue, a start time, and an end time that is after the start time.
Why did my edits to individual Classes disappear?
Changing the frequency, days, or end condition of a recurrence regenerates the Class list and replaces individual edits. Recurrences are also limited to 99 generated Classes.
Why can't I select a Learner in Enroll learners?
If the ILC does not allow enrollment in multiple Sessions, Learners who are already enrolled in or selected for another Session of the ILC cannot be selected.
Why weren't some Learners enrolled after publishing?
Standard enrollment rules still apply, such as a full Session, a Waitlist, or an existing enrollment in another Session. The notification shows how many Learners could not be enrolled. Use its link to the ILC Activity report for details.
The ILC published, but Learners were not enrolled. What should I do?
Publishing is never reversed because of an enrollment issue. You can enroll the Learners using the standard Admin enrollment options. For more information, see Enrollment Methods + Options.
