Logins Report

The Logins Report provides data about how active Users access your LMS. You can use this report to review login activity, identify engagement trends over time, and better understand how often Users are signing in during a selected period.

You can access the Logins Report from Setup in the left-hand menu of the Admin Experience. From the report, you can filter results based on several data points.

Using the Logins Report

This section explains what the Logins Report shows and highlights important considerations when reviewing report data.

Tips:

  • This report displays data only for active Users.
  • Opening a report may load a favorite saved layout or a shared default organizational report layout.
Enrollment Key First Use

When the New Users Are Required to Validate Their Email toggle is enabled on the Portal Settings > Users page, and a User creates an account using an Enrollment Key, their first time accessing the LMS from the New User Activation email is not counted as a Login in this report.

 

Report Data

You can customize this report to show different data fields. These fields appear as columns in the report and can be used to tailor the layout to your reporting needs.

Fields marked with an asterisk (*) are included in the default report layout.

Data Column Description
ID This column displays the unique identifier for each instance of a login attempt.
Time* This column displays the date and time the login was attempted.
Username*

This column displays the value entered in the User profile Username field.

The Username is a name-based identifier used to distinguish each User in the LMS.

Was Successful* This column indicates whether the login was successful. For example, if an incorrect password is entered, the column displays No.

 

Report Actions

After you open a report, you can perform administrative actions on a selected row. These actions become available in the right-hand Actions menu after you select an individual row in the report.

Action options depend on your assigned Admin Role permissions. Some actions listed below may not be available to all Admins. If you have questions about your permission set, your organization's System Admin should be able to provide feedback.

The actions listed in the following table apply to a single selected row.

Action Menu Option Description
Edit User Click this option to open a workspace where you can edit the selected User.
User Transcript Click this option to open a workspace where you can view the selected User's full training history.
View Enrollments Click this option to open a report where you can review and update the selected User's enrollment status in training they are enrolled in.
Deselect Click this option to clear the current selection.

 

Report Roles and Permissions

This section outlines the permissions needed to access the Logins Report and the related data it displays.

Your environment may use customized Roles, Permissions, or a combination of both to support these activities. If you have questions or need assistance, contact your local System Administrator to review your current permissions.

 

Required Role Permissions

The following permission is required to access this report.

Role: Section Access Permissions Needed
Users > Users View or Modify permission

 

Suggested Role Permissions

The following permissions are recommended based on the available actions in the report.

Role: Section Access Permissions Suggested
Courses > Enrollments View or Modify permission
Reports > Generated Reports* Access permission
Reports > User Transcript Access permission

*Admins must have the Generated Reports permission to export report data to Excel or CSV.
