Retroactive Changes in Absorb LMS

A Retroactive Change is the term used to refer to how the system handles a configuration changing. An example may be, if you change the name of an Online Course, do all Learners see the new Course name, or only newly enrolled Learners?

This document focuses on covering the known retro-activity of different elements of Absorb LMS.

 

Retroactive Changes Best Practices

When you are making changes in your Portal it is important to remember that any numbers of changes
may have different consequences, or outcomes. Modifying a Learning Object could potentially affect
every Learner with an active enrollment.

Determining the outcome of a change is valuable information. However it is not advised to include the outcome of a retroactive change in your business use-cases, as the functionality listed here may change unexpectedly in the future as new features are released, or functionality is modified.

 

Completed Users Don't Receive Updates

As a rule of thumb, Learners will not receive any updates related to an Enrollment if that Enrollment is
Completed. There may be exceptions to this rule, and this possibility reinforces the importance of testing a circumstance if the outcome of a Retroactive Change is business critical.

 

Create a New Course Instead of Reworking an Existing One

In regard to data integrity, it is ideal to have access to as much original information as possible. While it is
a supported use-case of Absorb to update existing information such as an Online Course. In the case of
re-working a Course and replacing almost everything. It may be better to create a new Course with the
same name, and title it accordingly. As an example:

  • First Aid 2024
  • March New Leads
  • Offline Certification [V2]

 

The benefit of creating a new Course instead of applying all the changes to an existing one is that it does
not incur Retroactive Changes. Newly enrolled Learners will experience the content as you configured it,
and there aren't any actively enrolled Learners to potentially affect with large scale changes.

 

Don't Rely on Retroactive Changes

In most cases, Retroactive Changes are the observed outcome of a change occurring in the system and proliferating. Understanding a Retroactive Change may be beneficial to explain why something happened, or what can be done to modify content that is essential to modify. However, the outcome associated with any given Retroactive Change may alter without notice as Absorb LMS continues to develop, and update existing features.

Always test before making changes to critical data, or expecting a Retroactive Change to take place.

 

Asterisks Indicate Not All Users are Affected Equally

In the following tables, some elements will have the state of their retro-activity presented with an asterisk. Such as in the following example:

 

Elements with an asterisk should be considered changes that will have a unique circumstance associated with them, or the change will not equally affect each User. Make certain to review the details associated with that change.

 

Online Course Changes

This section contains information about the retro-activity of different elements or settings available when configuring an Online Course, including Learning Objects:

Post Enrollments

Post Enrollment rules have three different triggers to choose from:

  • Enrolled
  • Completed
  • Failed

Post Enrollment actions will be dictated by how a Course or Curriculum's Post Enrollment rules are configured at the time an enrollment, completion, or failure occurs.

Enrolled: Users who have been enrolled into a Course or Curriculum after this setting is configured will receive the Post-Enrollment trigger.

Completed: Users who have complete a Course or Curriculum after this setting is configured will receive a Post-Enrollment trigger.

Failed: Users who have failed a Course after this setting is configured, will receive a Post-Enrollment trigger.

Note: If a Learner has already enrolled in, completed, or failed a Course, and the Post-Enrollment rules are set after the fact, the trigger will not retroactively apply to that Learner.

Exception: Course Bundles

Access Date

Yes.

Adding or changing the Access Date will affect all Learners who are enrolled.

Expiration

If the Use Start Date toggle is turned ON, this will set a date when all enrolled Learners will receive the first nudge. If a User was already receiving nudge emails prior to toggling Use Start Date ON, they may receive nudges from the original cadence and the new cadence that would occur from toggling on Use Start Date.

If the Use Start Date toggle is turned off, once the Learner is enrolled into the Course, opting in or out of the Nudge Message will not affect these Learners. Only Learners who enroll after the Nudge Message was adjusted, will it apply.

Once the Learner is enrolled into the Course, changing the Max Nudges of Messages will not affect these Learners. Only Learners who enroll after the Max Nudges of Messages was adjusted, will it apply.

Once Nudges have been scheduled, the original number of scheduled Nudges may continue to distribute to Learners even after the value is changed. Newly enrolled Learners will receive the newly configured number of Max Nudges.

Nudge every

If the Use Start Date toggle is turned on, this will set a date when all enrolled Learners will receive the first nudge. If a User was already receiving nudge emails prior to toggling Use Start Date on, they may receive nudges from the original cadence and the new cadence that would occur from toggling on Use Start Date.

If the Use Start Date toggle is turned off, once the Learner is enrolled into the Course, changing the Nudge Frequency of Messages will not affect these Learners. Only Learners who enroll after the Nudge Frequency of Messages was adjusted, will it apply.

Post Enrollment rules have three different triggers to choose from:

  • Enrolled
  • Completed
  • Failed

Post Enrollment actions will be dictated by how a Course or Curriculum's Post Enrollment rules are configured at the time an enrollment, completion, or failure occurs.

Enrolled: Users who have been enrolled into a Course or Curriculum after this setting is configured will receive the Post-Enrollment trigger.

Completed: Users who have complete a Course or Curriculum after this setting is configured will receive a Post-Enrollment trigger.

Failed: Users who have failed a Course after this setting is configured, will receive a Post-Enrollment trigger.

Note: If a Learner has already enrolled in, completed, or failed a Course, and the Post-Enrollment rules are set after the fact, the trigger will not retroactively apply to that Learner.
