Aura Admin Assist

Aura Admin Assist is an AI assistant available in the Admin Experience. It helps Administrators ask questions about how to use Absorb and retrieve supported LMS data using natural language. This article explains how Aura Admin Assist works, what it can answer, current limitations, and common troubleshooting steps.

Chats using Aura Admin Assist are free and do not use credits. For more information on the Aura credits system, see the Aura Credits System Overview article. 

Note that Aura Admin Assist is only available in English. 

 

Aura Admin Assist Configuration

Aura Admin Assist is enabled by default for some customers in their Portal. If Aura Admin Assist is not enabled in your Portal, System Administrators can enable it in Client Settings. Your Account Manager can provide assistance if Aura is not available in your Portal

In the Admin Experience, follow these steps to enable Aura Admin Assist:

  1. Click Client Settings in the Account menu.

     
  2. Click the Aura configuration tile.

     
  3. Click Admin Assist.
  4. Enable the Admin Assist toggle. 

     
  5. Click Save.

Aura Admin Assist is now available for Admins on your Portal

 

Access Aura Admin Assist

Aura Admin Assist is available to Users with access to the Admin Experience. The Aura button appears in the existing Admin header and does not add new pages or change existing Admin navigation.

 

Administrators can open the chat panel by clicking the Aura chat icon. The panel includes a chat input field, response area, feedback controls, a New Chat button, a View Mode button (with options for Floating, Sidebar, or Full Screen), and a Close button.

 

Start A Chat

Use the chat panel to ask a question in plain language. Questions can focus on Absorb functionality or supported LMS data.

  1. Open the Aura chat panel in the Admin Experience.
  2. Enter a question in the chat input field and click Send.

  3. Review the response from Aura Admin Assist.
  4. Select a cited source link, when available, to review the supporting article.

     
  5. Select the thumbs up or thumbs down feedback option to rate the response or the copy button to copy the response.

 

Start A New Chat

A chat session keeps context while the conversation remains active. Starting a new chat clears the current conversation context.

  1. Click New Chat.

     
  2. Enter a new question in the chat input field.
  3. Click Send

 

Use Aura Admin Assist

Aura Admin Assist supports two primary types of questions: Knowledge Q&A and Data Retrieval. It determines the type of request based on the question and routes the request to the appropriate response workflow.

 

Ask Questions About Using Absorb

Knowledge Q&A helps Administrators get guidance about Absorb functionality. Responses are grounded in Absorb support documentation and may include cited source links.

Examples of Knowledge Q&A questions include:

  • How do I set up SSO?
  • How do I create a course?
  • Where do I configure message templates?

 

Ask Questions About Your Data

Data Retrieval helps Administrators ask questions about supported LMS report data. Results are queried from live LMS data and returned in the chat as a formatted table.

At general availability, Aura Admin Assist supports Data Retrieval for the following report types:

  • Courses
  • Online Course Activities

 

Examples of supported Data Retrieval questions include:

  • How many active Courses do we have?
  • Show me Courses created this month.
  • Who completed the Safety Training course?

 

Unsupported Data Requests

If a data question uses an unsupported report type, Aura Admin Assist falls back to Knowledge Q&A. It may explain how to find the related report in the Admin Experience instead of returning report data in chat.

Unsupported examples may include requests for Users, Departments, enrollments, or other report types not supported by Data Retrieval at general availability.

For example, if you ask Aura how many Users are in your LMS, it will return steps on how to access the Users Report:

 

Understand Responses

Responses from Aura Admin Assist are designed to be grounded in retrieved source content. Knowledge Q&A responses are based on Absorb support documentation. Data Retrieval responses are based on live LMS report data.

 

Source Citations

When Aura Admin Assist answers a Knowledge Q&A question, it may include links to the source articles used to generate the response. Use these links to review the original documentation.

 

Live LMS Data

Data Retrieval queries live LMS data at the time of the request. Results reflect the current state of the Portal and are not based on cached report data.

Reporting Shortcut 

Aura Admin Assist is a conversational shortcut for supported report data. It is not a replacement for the standard Reports section in the Admin Experience.

 

Feature Limits

The following limits apply to Aura Admin Assist at general availability.

Limit Description
Supported Reports Data Retrieval supports Courses and Online Course Activities.
Record Limit Report results are capped at 100 records per query.
Conversation History Conversation history does not persist across sessions. Closing the chat or selecting New Chat clears the context. Admins cannot view Learner conversations.
Actions Aura Admin Assist does not complete actions on behalf of an Administrator.
Navigation Aura Admin Assist does not deep link Administrators to specific Admin pages.

Performance analytics are not currently available for Administrators.

 

Troubleshooting

Use the following troubleshooting guidance when Aura Admin Assist does not return the expected response.

 

Aura Admin Assist Cannot Answer A Question

This may happen when no relevant Absorb support documentation is found above the required relevance threshold.

Follow these steps to resolve the issue:

  1. Rephrase the question with more specific terms.
  2. Check the Absorb Help Center for the topic.
  3. Engage Absorb Support if the information is missing or appears incorrect.

 

Data Retrieval Returns No Results

This may happen when the request uses a supported report type but no matching data is found.

Review these steps to troubleshoot the issue:

  1. Confirm the Course Name, date range, or other details in the question.
  2. Ask the question again with updated details.
  3. Check the matching report in the Reports section to confirm data exists.

 

Aura Admin Assist Returns A Content Policy Message

This may happen when the request or intended response is blocked by safety guardrails.

Follow these steps to investigate the issue:

  1. Rephrase the question.
  2. If the request is legitimate and continues to be blocked, Absorb Support can provide assistance. 

 

Data Retrieval Is Not Available

If the chat panel or Data Retrieval workflow is unavailable in a test environment, confirm that the required feature flags are enabled by the appropriate Absorb team.

The following questions address common usage, access, and accuracy considerations for Aura Admin Assist.

 

Can Learners Use Aura Admin Assist?

No. Aura Admin Assist is only available in the Admin Experience for Users with Admin access.

 

Does Aura Admin Assist Require Customer Configuration?

System Administrators can enable or disable Aura features in Client Settings at any time. 

 

Does Aura Admin Assist Store Conversation History?

No. Conversation history does not persist across sessions. Selecting New Chat or closing the chat clears the current context.

 

Can Aura Admin Assist Retrieve All Report Data?

No. Data Retrieval supports Courses and Online Course Activities at general availability. For other data, use the standard Reports section in the Admin Experience.

 

Does Aura Use Portal Content To Train AI Models?

No. Aura does not use your organization's data to train models. Your data remains isolated in your LMS environment. 

 

Is Aura Available in Sandbox Environments?

Aura is not available in sandbox environments.
