By default, the Aura Learner Agent can help Learners find and discover Courses available to them in their Portal's Catalog.
Learners can also ask questions about the content of the Courses available in their Portal. Before this is possible, Admins need to identify and extract the content out of those Courses to make it available to Learners.
This article covers how to select Courses for Extraction and how to configure availability for those Courses.
Configure Course Extraction for Aura
Courses can be extracted from the Courses Report in the Admin Experience. Admins can extract one or multiple Courses for Aura. When a Course is extracted, the following information is extracted:
- Eligible Lesson Content
- Eligible Course Resources
Extracting a Course for Aura consumes credits. For more information on the Aura credits system, see the Aura Credits System Overview article.
Courses that contain certain content, such as objects, lessons, or third-party lessons, are eligible for Aura. Amplify Courses are not eligible for Aura. Instructor Led Courses are not supported in Aura.
Courses containing the following Lesson types are eligible for extraction:
-
Third-Party Lessons
- SCORM
- xAPI
- Tin Can
- Absorb Create Courses
-
Video Lessons (containing video files)
- .mp4
- .mov
-
Object Lessons
- .docx
- .docm
- .dotx
- .dotm
- .txt
- .md
- .csv
- .rtf
- .mp4
- .mov
Note:
- Course Resources are also extracted when a Course is extracted.
- Video Lessons are transcribed during this process even if they haven't been transcribed previously.
In the Admin Experience, follow these steps to extract Courses:
- Click Courses in the left-hand menu.
- In the Courses Report, click on the Display Columns button at the top of the table. Enable the Available for Aura, Eligible for Aura, and Last Extraction Date fields. These indicate which Courses can be extracted for Aura, and when the last extraction took place.
- Filter Eligible for Aura to Yes.
- Select one or multiple eligible Courses to extract.
- In the Actions menu, click Extract for Aura.
- On the Extract course content for use in Aura page, configure the Course content access rules. This option determines when a Learner can access the Course content. The available options are:
- Completed: Access is restricted until the Learner completes the Course.
- Always: the Learner can always access the Course content provided they have enrolled in the Course, or it is in their Catalog.
- Click Save.
If you make changes to a Course Lesson, the Course must be extracted again for those changes to be reflected in Aura. Extraction time scales with content volume, and large content batches may take several hours to complete.
When extraction is complete, Absorb sends a confirmation email with the following details:
- Number of Courses processed.
- Number of Courses successfully extracted with Course names.
- Number of Courses partially extracted with Course names.
Partially extracted Courses contain a mix of extractable and non-extractable Lesson types. Only extractable Lesson types are included in the extraction.
