Amplify Select Packages: Admin Best Practices

This article explains how Amplify Max Select and Amplify Plus Select bundles work in Absorb LMS and provides a planning and governance guide for administrators who manage them. With a Select bundle, your entire Absorb Amplify Max or Absorb Amplify Plus library is available to browse, but the number of Courses you can convert for Learner access is capped by your contract. Because every conversion counts against that limit and cannot be reversed during your contract year, please review this guide before you convert your first Course.

 

Understanding Your Course Conversion Limit

When a Select bundle is enabled on your Portal, the full Absorb Amplify Max or Absorb Amplify Plus library is activated for you to review. A rule is applied to your Portal that allows Course conversions only up to the limit defined in your contract. Once you reach that limit, the LMS will not allow you to convert any additional Courses.

It is important to understand that the limit is measured by the act of converting a Course, not by whether Learners enroll in it. Each Course you convert counts toward your total, regardless of how many Learners ultimately access it.

You can see your conversion limit and current usage directly on the Absorb Content report. When a Select bundle is enabled, a banner displays the contracted number of conversions and how many you have used. For example: This Absorb Content contract allows for 250 unique course conversions. Courses converted: 0/250.

What Counts as a Conversion

Because every conversion counts against your limit, it helps to know how specific content is counted before you convert. The following examples show how common scenarios apply to your total:

Consideration Explanation
Multiple language versions If a Course has two versions for two different languages and you convert both, that counts as two conversions. If Learners can switch languages within a single Course, it counts as one.
Course series If a Course belongs to a five-part series and you convert the entire series, that counts as five conversions.

 

Conversions Cannot Be Reversed Mid-Year

Once a Course is converted, it counts toward your limit for the remainder of your contract year. Marking a converted Course as inactive, or deleting it, does not free up a slot or reverse the conversion. You can only rebalance your catalog at your annual contract anniversary, so confirm your selections carefully before you convert.

 

Plan Before You Convert

Thoughtful planning keeps your catalog aligned with your organization's needs across the full subscription term. Complete the steps below before you open the catalog and begin converting.

 

Map Your Learning Requirements

Build a simple planning document before opening the catalog so you have a single source of truth for what gets converted and why. For each requirement, capture the following details:

  • Topic or subject area, such as compliance, leadership, technical, or soft skills
  • Department or team the content serves
  • Learning path or program it belongs to
  • Priority, such as must-have, nice-to-have, or future
  • Estimated audience size
  • Owner or requester within your organization

 

Use the Knowledge Base to Identify the Right Courses

Searching alone will not always surface the best match, so use the Knowledge Base to review content thoroughly before converting. A careful review up front prevents wasted conversions:

  • Browse curated learning paths already assembled by topic
  • Review Course descriptions, durations, and learning objectives
  • Check provider, language availability, and accessibility features
  • Identify duplicates so you do not convert two Courses for the same need

Leave a Buffer in Your Conversion Limit

Unplanned learning requirements will always come up, whether from new regulations, leadership initiatives, restructures, or incident response. Because converted Courses can only be rebalanced at your annual anniversary, a reserve is your only in-year flexibility. We recommend that you:

  • Hold back roughly 8 to 10 percent of your limit as a reserve
  • Document the buffer in your planning map
  • Treat it as off-limits except for unplanned, time-sensitive needs
  • Revisit the buffer policy each year ahead of your anniversary

 

Establish Course Conversion Controls

Decide who in your organization is responsible for converting Courses before anyone begins. When multiple administrators can convert without a central view, the limit is consumed quickly. There are two main levers, and most organizations use one or a combination of both. The right design depends on your team size, Admin structure, and existing tools, so treat the examples below as suggestions rather than requirements.

 

Process Controls

Process controls add a workflow that requires approval before a conversion happens. Common approaches include:

  • A conversion request form, built in Microsoft Forms, Google Forms, or a similar tool
  • A ticket queue in your existing IT or HR service desk
  • A shared spreadsheet tracker with an approver sign-off column
  • An email approval thread routed to a designated learning and development (L&D) lead
  • A dedicated Slack or Teams channel for posting and approving requests

 

Role-Based Controls

Role-based controls use LMS roles and permissions to limit who can convert in the first place. Common approaches include:

  • A browse-and-preview-only reviewer role that cannot convert Courses
  • Conversion permissions restricted to a single L&D administrator or a small, named group
  • A tiered structure in which department admins request and preview, central L&D approves, and one or two Admins perform the conversion

Whichever combination you choose, document it and share it with every administrator who works with Amplify. The primary permission governing access and control over Content Libraries is Manage > Content Libraries, with View and Modify being available as options:

When You Reach Your Limit

The LMS enforces your conversion limit automatically. Once you reach your limit, the Convert to Course button becomes unavailable, so you cannot convert additional Courses. You can still browse and Preview all content in your library as normal, which lets you plan future selections even after the limit is reached.

 

Manage Your Catalog Across the Year

Your conversion decisions are locked in until your anniversary, so ongoing tracking is what makes your annual review effective. Monitor usage throughout the year and prepare your rebalancing decisions well ahead of your anniversary date.

 

Track Usage Throughout the Year

Keep a running view of how your converted content performs and how your needs change so you can identify strong rebalancing candidates. Track the following:

  • Enrollment and completion data for each converted Course
  • Courses with low or no engagement, as potential inactivation candidates
  • Business changes, such as restructures, retired programs, or new priorities
  • A running list of candidates for inactivation

 

Check for Existing Conversions

Before converting, confirm the Course has not already been converted. The LMS will not stop you from converting a duplicate of a Course you already have, so this check protects your remaining conversions. On the Absorb Content report, switch to the table view and select Yes in the Converted to Course filter to see everything you have already converted. You can then export the list to review it in a spreadsheet.

 

Swapping Courses on Your Contract Anniversary Date

Your contract anniversary date is the annual date on which your Select contract term renews, and it is your only opportunity to rebalance your catalog at scale. On this date each year, you are permitted to swap out converted Courses for different selections from your library.

This swap is not automatic. The LMS does not reset or revert your converted Courses when your anniversary date arrives. To swap Courses in a new contract year, you must contact your Client Success Manager (CSM) or Absorb Support to arrange the change. We recommend that you start your formal review 60 to 90 days ahead of your anniversary to sequence decisions, approvals, and Learner communication, and to confirm which Courses to inactivate and which new ones to convert in their place.

As content is periodically refreshed, some Courses are retired and replaced. When a Course in your contract is within 90 days of its retirement date, a warning appears on both the card and table views of the Absorb Content report, and you can click view retiring courses in the banner to filter the report to those Courses. Document Roles and Responsibilities

Clear ownership prevents governance gaps from appearing as your program grows. Assign a responsible owner for each of the following:

  • Catalog browsing and previewing: who evaluates Courses
  • Conversion approval: who signs off
  • Conversion execution: who performs the conversion in Absorb
  • Limit monitoring: who tracks conversion counts and reports remaining capacity
  • Annual review: who leads the pre-anniversary review and inactivation decisions

 

Pre-Launch Checklist

Use this checklist to confirm your governance is in place before you begin converting content:

  • Learning requirements map created and maintained
  • Conversion buffer defined and documented
  • Conversion approval mechanism in place, including a form, an owner, and a turnaround expectation
  • LMS roles configured to restrict conversion permissions where appropriate
  • Ongoing usage tracking process in place
  • Annual pre-anniversary review scheduled
  • Roles and responsibilities documented and shared
