Skills: Configuring Job Roles

This article explains how System Admins complete the initial configuration of Job Roles in Absorb Skills. It covers the three ways to build your Job Roles: Import, Add from Catalog, and create a Custom Job Role.

Before You Begin

Before configuring Job Roles, confirm that your Portal meets the requirements for Absorb Skills and that your Admin account has the permissions needed to see each setup option.

  • Absorb Skills is a paid add-on and must be enabled on your Portal.
  • The Next Generation Learner Experience (NGLE) and Admin Refresh are required to use Absorb Skills.
  • Job Roles and Skills data is sourced from Lightcast and is available in English only.

 

Permissions and Availability 

Please note which setup options appear depends on your Admin permissions and account settings. Import and Create Custom Job Role require the permission to add client Job Roles, Add from Catalog requires the catalog feature to be available on your account, and Manage Categories requires the categories permission. If none of these are available, the Add menu is hidden.

 

The Job Roles Page

Job Roles are configured from the Job Roles page. From the page header you can open the Add menu to choose a setup method, use Manage Categories to organize your Job Categories, and switch to the previous layout with View Legacy Experience. When no Job Roles exist yet, the page displays the same setup methods as large action cards instead of a menu.

 

While an import is running, a Job Role Import In Progress banner appears on the page and the Import option is disabled until the import finishes.

 

Set Up Job Roles

There are three ways to add Job Roles to your library, all available from the Add menu or the empty-state action cards on the Job Roles page. Choose the method that best fits how you want to build your Job Roles.

 

Import Job Roles

Use Import to add Job Roles in bulk from a Comma-Separated Values (CSV) file. This method is best when you already maintain Job Role data outside of the LMS and want to bring it in all at once.

  1. On the Job Roles page, click Add.
  2. Click Import to open the Import Job Roles window.
  3. In the Download CSV Template banner, click Download to save the template file.
  4. Populate the template with your Job Role data, keeping the columns in the required order.
  5. Click Upload CSV and select your completed .csv file.
  6. Review any validation messages, then click Import.

 

The template requires the following columns, in this exact order:

JobRoleId The unique identifier for the Job Role.
Name The name of the Job Role. Required.
IsActive Indicates whether the Job Role is active.
Category The Job Category the role belongs to. Required.
JobSummary A description of the Job Role.
JobSkill A Job Skill associated with the Job Role.
JobSkillLevel The Proficiency Level for the associated Job Skill.

 

Before importing, confirm that your file meets these requirements. You can also click View Format Guidelines in the window to review the Recommended Format details.

  • The file format is .csv.
  • The file is no larger than 10 MB.
  • All required columns are present, in the correct order, with no additional columns.
  • The file contains at least one row and no more than 10,000 rows.
  • Name and Category are provided for each Job Role.
  • Each Job Skill is associated with a Job Role, and each level entry follows a consistent format.

 

While the file processes, a Processing Upload Please Wait message appears. Larger imports continue in the background, indicated by the Job Role Import In Progress banner on the Job Roles page.

 

Add Job Roles From the Catalog

Use Add from Catalog to select from a library of predefined Job Roles and add them to your Portal. This method is best when you want to start from established Job Roles rather than build your own.

  1. On the Job Roles page, click Add.
  2. Click Add from Catalog to open the Add Job Roles window.
  3. Use the filter, sort, and search controls to locate the Job Roles you want.
  4. Select the checkbox for each Job Role you want to add.
  5. To review a role's associated Skills, click Show More on that Job Role.
  6. Click Add.

 

Job Roles already in your library appear selected and disabled with a Job Role Already Added indicator. If a search returns no matches, a No Results message appears. When your account supports it, you can also click Export as CSV to export the catalog. After you click Add, a processing window appears while the roles are added, and a confirmation message displays the number of Job Roles added.

 

Create a Custom Job Role

Use Create Custom Job Role to build a single Job Role from scratch. Unlike the other two methods, Create Custom Job Role opens the dedicated Add / Edit Job Role page rather than a window. The page is divided into a General section and a Skills section.

  1. On the Job Roles page, click Add.
  2. Click Create Custom Job Role to open the Add / Edit Job Role page.

 

General Section

The General section captures the core details of the Job Role. Complete the following fields:

Description

Status Set to Active to make the Job Role available, or Inactive to make it unavailable.
Name Enter a name for the Job Role. Required.
Category Select a Job Category from the dropdown. Required.
Job Summary Enter a description of the Job Role.
Responsibilities Click Add Responsibility to add up to 1,000 responsibility entries.

 

Skills Section

The Skills section is where you attach the Job Skills that define the Job Role and set each Skill's Proficiency Level. Use the Add Skill to Job Role prompt to attach Skills.
